About the Role
This fast-paced role supports Magnolia Bakery's Domestic & International Franchise Development Team through franchise administration, Discovery Day event planning and execution, and cross-functional project coordination throughout the franchise development lifecycle. Success requires initiative, sound judgment, strong communication skills, impeccable attention to detail, and a hospitality mindset.
Responsibilities
- Plan, coordinate, and host Magnolia Bakery's virtual and in-person Discovery Days at our New York City Home Office.
- Oversee all event logistics including scheduling, executive calendars, travel logistics, catering, presentations, meeting materials, and franchise candidate communications, while serving as the on-site host to ensure a polished, hospitality-driven experience that reflects the Magnolia Bakery brand.
- Prepare, track, and distribute franchise-related agreements (FDDs, ADAs, FAs, NDAs, amendments, renewals, transfers, etc.) and new franchisee announcement communications.
- Facilitate franchise approval and real estate approval meetings by preparing materials, managing meeting logistics, and ensuring timely distribution of committee pre-reads, Docusign requests and follow-up action items.
- Track franchise development milestones and contractual obligations, proactively communicating upcoming deadlines, potential risks, and schedule delays to the appropriate stakeholders.
- Maintain accurate franchisee, entity, and store records within FranConnect.
- Ensure supporting documentation remains complete, organized, and compliant with regulatory requirements.
- Assist with state registration and FDD renewal documentation.
- Organize and maintain SharePoint document libraries for internal team.
- Prepare and maintain reports, presentation materials, and other documentation to support franchise development initiatives and leadership reporting.
- Coordinate franchise development initiatives across Operations, Finance, Marketing, Real Estate, Architecture, and Legal to ensure projects remain on schedule.
- Schedule and facilitate new franchisee onboarding post-agreement execution.
Requirements
- Candidates need to be based within Eastern Time Zone and accessible to a major metropolitan airport.
- Proven ability to independently manage multiple projects simultaneously, prioritize competing deadlines, exercise sound judgment, and proactively drive work forward.
- Exceptional communication and interpersonal skills, with professionalism and confidence to work effectively with executives, franchisees, vendors, and cross-functional teams.
- Demonstrated ability to manage detailed administrative processes while delivering a polished, hospitality-driven experience.
- Requires up to 20% travel, primarily monthly visits to Magnolia Bakery’s New York City Home Office for Discovery Days, plus occasional travel for brand representation in office, franchise conferences, trade shows, and company events.
Skills
- Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint), Adobe, and Docusign.
- Experience with franchise management software (e.g., FranConnect) and preferred mapping software.
