About the Role

The Unit Secretary is responsible for the flow of information within the unit and between the patient care team. This role also functions as a receptionist, performing secretarial and administrative duties, and maintaining the integrity of the medical record from admission to discharge. The unit secretary coordinates patient movement, orders supplies, and utilizes effective interpersonal skills to collaborate with the Interdisciplinary Care Team.

Responsibilities

  • Ensures patients' rights are respected.
  • Maintains patient medical records from admission through discharge in the appropriate "Universal Chart" order.
  • Removes and stores excess pages from the medical record and files them in the approved location.
  • Screens and responds to telephones, call lights, and patient intercoms.
  • Locates personnel and relays messages.
  • Greets visitors cordially and respectfully.
  • Responds to questions within the scope of responsibility and provides directions.
  • Provides non-medical information regarding patients and refers other inquiries to the appropriate caregiver.
  • Maintains and communicates all admissions, discharges, transfers, and deaths to the appropriate departments.
  • Maintains patient unit records and forms, such as patient activities and movement logs.
  • Arranges for patient appointments and referrals after receiving an order.
  • Arranges for retrieval of patient’s belongings and transportation.
  • Monitors unit inventory and orders patient unit supplies in a cost-effective manner.
  • Reviews tele-tracking system to ensure accurate scheduling and notifies RN of patient's scheduled test time.
  • Acts as the communication liaison between the unit and ancillary departments.
  • Performs a unit-based bed sweep three times a day.
  • Gives report to oncoming Unit Secretary, including patient locations, anticipated admissions/discharges/transfers, scheduled tests/procedures, and a summary of daily activities.
  • Utilizes Unit Secretary worksheet/CIS to track patient location, discharges/transfers/admissions.
  • Utilizes telephone message logs as per unit practice.
  • Maintains inventory of office supplies and equipment.

Requirements

  • High School Diploma or GED Required.
  • Must demonstrate capability of working in a windows environment to be trained on CIS or BIS.
  • Computer Literacy Required.
  • Must be able to read, write and speak English fluently.
  • Previous experience preferred.
