About the Role

The Operative Suite Lead at Generation Next Fertility is responsible for overseeing surgical assistance, specimen handling, pathology reviews, and communication of results. This role involves leading and training staff, coordinating schedules, monitoring performance, and implementing improvements to ensure exceptional care in the operating room and recovery areas. The Lead ensures sterilization protocols are followed, manages inventory, and handles regulatory compliance.

Responsibilities

  • Admit patients for surgical procedures, obtain and document medical histories, and communicate clinical updates.
  • Maintain accurate and organized electronic medical records (EMR).
  • Ensure patients have appropriately completed all pre-operative instructions.
  • Assist physicians during surgical procedures, including egg retrievals, hysteroscopies, embryo transfers, D&C, cyst aspirations, and ovarian PRP injections.
  • Prepare procedure rooms and surgical equipment, maintain sterile fields, and perform instrument sterilization.
  • Adhere to all sterile processing and infection control protocols.
  • Prepare, label, and handle laboratory specimens, ensuring proper identification and transport.
  • Monitor and facilitate patient recovery, provide post-operative instructions, and collaborate with the Medley Recovery Nurse.
  • Prepare daily surgical schedules and maintain required medical records.
  • Cross-train with the Concierge Team to develop proficiency in all aspects of patient care.
  • Train and mentor newly hired clinical staff on clinical workflows, protocols, and patient care standards.
  • Assist with clinical phone calls, patient communications, and coordination of care.
  • Coordinate the onboarding and orientation of all new clinical staff.
  • Maintain and organize staff credentialing and compliance records, including BLS certification and licensure.
  • Coordinate renewals and training to ensure continuous compliance with regulatory standards.
  • Assist in maintaining compliance with AAAASF standards.
  • Participate in accreditation preparation, quality assurance, policy updates, and staff education.
  • Maintain inventory of operating room equipment, surgical instruments, medications, and clinical supplies.
  • Perform routine inventory audits and monitor stock levels.
  • Ensure all equipment is appropriately maintained, serviced, and available for patient care.
  • Coordinate the ordering, receiving, and stocking of medical supplies, instruments, medications, and office materials.
  • Work with vendors to ensure adequate inventory levels and cost-effective purchasing.
  • Develop, implement, review, and update Standard Operating Procedures (SOPs) for clinical, surgical, anesthesia, and operational workflows.
  • Coordinate and facilitate emergency preparedness drills and training sessions.
  • Develop and maintain operational dashboards and tracking systems to monitor departmental performance.
  • Utilize data-driven insights to identify areas for improvement and ensure follow-through on operational goals.
  • Evaluate clinical workflows, identify operational challenges, and implement solutions.
  • Ensure effective communication and accountability across clinical and administrative teams.
  • Oversee the OR schedule, ensuring guidelines are followed and communication is maintained.
  • Manage the clinical team's daily operations, ensuring protocol adherence, high patient care standards, sterility, and compliance with QUADA standards.
  • Schedule Medley nurses, explain daily tasks, and train new nurses.
  • Manage staff shift assignments, ensure adequate coverage, and address scheduling conflicts.
  • Plan the ordering of supplies, ensuring the OR/Recovery area is always stocked.
  • Oversee the maintenance and functionality of OR/Recovery equipment, initiating repairs and upgrades.
  • Identify workflow inefficiencies and propose solutions to streamline processes.
  • Serve as the point of contact for inspections, ensuring the OR/Recovery area meets regulatory and compliance standards.
  • Conduct staff performance evaluations and create professional growth opportunities.
  • Coordinate clinical staff training in other departments.
  • Attend pathology reviews, take notes, and write pathology notes.
  • Communicate with representatives regarding pricing, information, and orders.

Requirements

  • Bachelor’s Degree (min 3.7 GPA)
