About the Role
The Assistant Director of Private Events supports the Director of Private Events in managing the sales and operational execution of The Battery's private event program. This leadership role ensures seamless event execution and client satisfaction, bridging sales and operations teams. In the Director's absence, the Assistant Director assumes full departmental oversight.
Responsibilities
- Directly supervises Private Event Managers and Private Events Operations Managers, setting goals and providing coaching.
- Assumes full oversight of the Private Events department in the Director's absence.
- Manages the private events calendar and coordinates with the Director on revenue management and space allocation.
- Assigns incoming private event business to Private Event Managers based on team capacity, client fit, and revenue priorities.
- Partners with the Director on departmental forecasting, budgeting, and cost control.
- Coordinates cross-functionally with culinary, food & beverage, and other departments for seamless event delivery.
- Oversees staffing strategy, including training standards for outsourced staff.
- Oversees the sales pipeline and lead generation process, ensuring strong client relationships.
- Reviews and approves client contracts and sales materials for consistency and accuracy.
- Manages multi-million dollar program budgets, including invoicing, payment schedules, and final billing.
- Reviews department financials regularly with the Director to ensure budgetary goals are met.
- Leads weekly BEO meetings and pre-shift briefings.
- Sets quarterly benchmarks and milestones for managers.
- Handles escalated employee matters and supports hiring and training efforts.
Requirements
- Bachelor's degree in business, hospitality, or a related field preferred.
- Minimum of 5 years of event planning and management experience in an upscale casual or fine dining environment.
- Minimum of 3 years in a supervisory role; experience managing other managers preferred.
- Familiarity with event software and generating a BEO.
- Valid manager-level food handler certification.
- Flexibility with schedule: evenings, weekends, and holidays.
- Ability to work up to 40+ hours per week.
- Able to tolerate varying noise levels, temperature, illumination, and air quality.
- Requires hand-eye coordination and manual dexterity.
- Requires normal sense of smell, taste, touch, and sound.
- Able to respond to visual or aural cues.
- Continuously or periodically bend, twist, lean, lift, push, pull, kneel, walk, stand, and/or sit up to 8+ hours per shift.
- Lift up to 30 pounds.
- Work in a stressful environment and stressful situations.
- Work in an environment where the climate constantly changes.
- Able to maneuver freely through all areas of the property.
