About the Role
ROOST Rainey is seeking a highly organized and service-driven Sales Coordinator to support the property's sales efforts across corporate, group, and leisure business. This role is responsible for providing administrative support to the sales team, coordinating client communications, managing contracts and proposals, and ensuring a seamless experience from initial inquiry through event or group arrival. The ideal candidate is detail-oriented, thrives in a fast-paced environment, and enjoys building relationships while supporting revenue growth.
Responsibilities
- Provide day-to-day administrative support to the commercial team.
- Respond promptly to group and corporate inquiries, qualifying leads and routing opportunities appropriately.
- Prepare proposals, contracts, rooming lists, and other sales documentation with accuracy.
- Maintain client records, account activity, and sales opportunities within the CRM and sales systems.
- Coordinate site visits, client tours, and FAM trips.
- Assist with RFP responses and manage deadlines for corporate, government, and group business opportunities.
- Track tentative and confirmed business, ensuring timely follow-up throughout the sales cycle.
- Collaborate with Operations, Front Office, and Housekeeping teams to ensure successful preparation and execution of group/client stay.
- Support revenue-generating initiatives through outbound prospecting, lead generation, and account research.
- Prepare weekly sales reports, pace reports, production summaries, and other administrative reporting.
- Assist in coordinating promotional events, networking functions, trade shows, and community partnerships.
- Manage sales collateral, digital assets, and presentation materials to ensure they remain current.
- Maintain a high level of professionalism and exceptional customer service in every client interaction.
- Perform additional administrative and sales support duties as assigned.
Requirements
- 1–3 years of experience in hotel sales, hospitality, event sales, or administrative support.
- Experience within a hotel, lifestyle hospitality brand, or luxury property preferred.
- Strong organizational and time management skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities while meeting deadlines.
- Proficiency in Microsoft Office Suite.
- Experience with hotel CRM systems, Delphi, TripleSeat, or similar sales software is a plus.
- Self-motivated with a collaborative, team-first mindset.
- Professional, polished, and guest-focused demeanor.
- Hospitality sales or hotel operations experience.
- Knowledge of group room blocks and transient corporate sales.
- Experience supporting multiple stakeholders in a fast-paced environment.
- Familiarity with Austin's corporate, entertainment, and tourism markets is a plus.
