About the Role

The Nature Conservancy of Canada (NCC) is seeking a motivated and detail-oriented Gift Administrator, Monthly Gifts, to manage the setup and processing of pre-authorized donations from various offline sources. This role is crucial for maintaining donor integrity and aligning fundraising data with financial data, contributing to NCC's mission of protecting important natural areas.

Responsibilities

  • Ensure accurate and timely downloading of encrypted files from vendors, data entry, gift processing, payment setup, and handling of recurring preauthorized donation pauses or cancellations from multiple channels.
  • Manage end-to-end processing and reconciliation of monthly gifts, performing quality checks and financial reconciliation between vendor data files and Raiser's Edge records.
  • Provide regular status reports on gift processing and reconciliation to internal teams and management.
  • Collaborate effectively with internal stakeholders in Marketing & Development and vendors regarding data files and processes.
  • Issue CRA-compliant tax receipts, cancelled receipts, and ad hoc receipts from Face-to-Face campaigns.
  • Generate accurate CRA-compliant consolidated annual tax receipt data files and replacement receipts, ensuring data accuracy and integrity.
  • Adhere to internal PPSGs, external regulations, and CRA compliance requirements for processing and allocating revenue.
  • Create and update import file templates for Raiser's Edge from various sources using the RE Import module or third-party products.
  • Create and update staff payroll contributions in Raiser's Edge based on information provided by the Payroll Manager.
  • Ensure daily reconciliation of recurring gifts and 3rd party designated donations data in Raiser's Edge and with the bank, resolving any discrepancies.
  • Provide scheduled and ad hoc revenue statistics on monthly recurring donations and trends for the senior team.
  • Maintain comprehensive documentation and provide training to staff on recurring gifts processing and receipting.
  • Identify process challenges and recommend solutions for efficiency, error reduction, and implementation of new solutions.
  • Analyze organizational processes to identify areas for automation and efficiency improvements.
  • Utilize AI tools to summarize donation documentation, identify patterns, and flag inconsistencies.
  • Develop and implement scripts or automation workflows using programming languages like Python or automation platforms.
  • Update the Data Entry guide, Gift Entry Manual, PAP Manual, and End to End procedure documents, and create new procedure documents as needed.
  • Update and create PPSGs related to recurring gifts and suggest improvements for other areas.
  • Administer staff payroll contributions in Raiser's Edge.
  • Support the gift administration team with online gift processing, major gifts processing, and receipting.
  • Provide backup during absences and assist in overseeing volunteers or temporary staff.
  • Assist in Annual Financial audit and Annual Charities Return preparation.
  • Undertake other ad hoc projects and duties as assigned by management.

Requirements

  • Completion of post-secondary education in a relevant field.
  • Strong interest in furthering skills and education in fundraising (e.g., Association of Professional Fundraisers).
  • Good foundation in Blackbaud Raiser's Edge or other non-profit databases.
  • Experience with data integration tools such as Import O’Matic.
  • Two to three years of relevant experience.
  • Excellent knowledge of Canada Revenue Agency’s gift receipting requirements.
  • Good knowledge of data analysis and visualization tools (Excel, Power BI).
  • Understanding of fundraising and accounting practices and procedures.
  • Proficiency in Microsoft Office applications (Outlook, Word, Excel, and PowerPoint).
  • Meticulous attention to detail and a high degree of accuracy.
  • Strong organizational, analytical, and problem-solving skills.
