About the Role

This entry-level role focuses on maintaining communications and relationships outside the organization through media relations, fundraising, marketing, communications, public relations, advocacy, outreach, and volunteer services. It also involves performing volunteer services duties to improve community quality of life and representing Tufts Medicine with non-profit groups and community leaders. The position supports daily business activities in a hands-on environment, requiring routine work under close supervision.

Responsibilities

  • Monitors, screens, and welcomes staff, patients, and visitors to ensure authorization and legitimate business.
  • Provides a high level of customer service by interacting professionally, cordially, and helpfully with staff, patients, and visitors.
  • Greets patients, families, and guests in the main lobby, serving as a focal point for inquiries and addressing guest needs.
  • Assists individuals with disabilities and mobility issues by securing appropriate transportation or services.
  • Answers patient information lines, releases patient information when applicable, and routes internal and external calls.
  • Circulates throughout the lobby, initiating contact with customers to identify and address questions and concerns.
  • Reports suspicious individuals or activity, and violations of rules or regulations.
  • Makes "search" runs for wheelchairs to provide necessary transportation for patients or visitors.
  • Trains new volunteers in all aspects of responsibilities.
  • Acts as the supervisor in the lobby during their shift if the coordinator of Concierge is unavailable.
  • Continually upgrades all information needed by concierge employees and volunteers, assuring a professional and accurate information system.
  • Plans and implements community involvement and giving programs in various areas.
  • Represents Tufts Medicine with non-profit groups, community organizations, and community leaders.

Requirements

  • High school diploma or GED.
  • Prior customer service or administrative experience is preferred.

Skills

  • Ability to multi-task and meet established deadlines.
  • Ability to assess potentially dangerous situations quickly and make sound decisions.
  • Ability to maintain professional composure when dealing with unusual circumstances.
  • Courteous telephone manner.
  • Ability to adapt to changes in the external environment and organization.
  • Ability to write routine correspondence, including email, logs, and reports.
  • Good interpersonal skills, with the ability to interact effectively at various social levels and across diverse cultures.
  • Ability to read and write at a proficient level.
  • Basic Computer Skills.
