About the Role

As an Executive Assistant at Sephora Canada, you will provide administrative and office support to senior executives, ensuring a smooth and organized experience for the teams you support. Your work will impact the business by maintaining priorities, supporting daily operations, and enabling leaders to focus on key objectives. You will be part of a collaborative team dedicated to beauty, service, discretion, and operational excellence.

Responsibilities

  • Manage daily calendars, meetings, appointments, and travel arrangements for Executive Leader(s), including local, national, and international travel.
  • Manage and submit expense reports for Executive Leader(s) in a timely manner.
  • Support office management to ensure a clean, organized, and professional working environment for your department.
  • Be present in the office a minimum of 3 to 4 days a week to maintain office standards.
  • Provide coverage and support for the Office Manager/Receptionist during their absence.
  • Collaborate with the Senior Executive Assistant on scheduling to ensure adequate daily office support.
  • Support the setup and teardown for department and company events, including Town Halls, social events, holiday parties, and conferences.
  • Support shipping, receiving, storage, and gratis/product distribution for your team.
  • Provide a high level of administrative support, ensuring quality service and professionalism.
  • Handle confidential and urgent departmental matters with discretion and sound judgment.
  • Manage priorities efficiently in a multi-tasked environment and ensure deadlines are met.
  • Act as a liaison with internal and external partners at all levels of the organization.
  • Use professional judgment to screen, prioritize, and determine actions for incoming calls and inquiries.
  • Organize data, update reports and presentation materials, and support team events, meetings, and trainings.
  • Collect and track data, research information, sort and distribute mail, process expense reports, schedule meetings, and complete other administrative assignments.

Requirements

  • 5+ years of executive assistant experience.
  • Strong organizational and multitasking skills, with the ability to manage competing priorities in a fast-paced environment.
  • High degree of initiative and ability to work independently while collaborating effectively with a team.
  • Discretion and professionalism to handle sensitive and confidential matters.
  • Proficiency in Microsoft applications, including Word, Excel, PowerPoint, and Outlook.
  • Resourceful and creative problem solver with strong attention to detail and a high level of accuracy.
  • Strong interpersonal and communication skills.
  • Professional, discreet, personable, and client service-driven approach.
  • Flexibility with hours and availability to work overtime when required.
