About the Role

Spectrum Health Care is seeking a full-time Health, Safety and Employee Incident Coordinator to support our Health and Wellness team. This role champions data integrity, supports WSIB administration, and streamlines workplace injury reporting, monitoring incident trends and driving legislative compliance.

Responsibilities

  • Coordinate the administration and tracking of employee incidents from initial reporting through file closure, maintaining accurate, complete, and confidential records within QRS and applicable systems.
  • Coordinate all WSIB claims data, including uploading and maintaining claim documentation, coordinating payroll information, and completing wage calculations required for WSIB forms and claims.
  • Support WSIB claims administration by working closely with designated third-party provider(s), employees, managers, and Payroll.
  • Monitor claim, accommodation, and incident timelines to ensure compliance with legislative and organizational requirements.
  • Prepare ad hoc, monthly, quarterly, and annual reports, dashboards, and trend analyses related to employee incidents, WSIB claims, accommodations, and health and safety metrics.
  • Conduct regular audits of employee incident, accommodation, and WSIB files to ensure data accuracy, completeness, and compliance; identify and resolve data quality issues with managers.
  • Ensure accommodation documentation is complete, consistent, equitable, and compliant with applicable legislation.
  • Liaise with managers, employees, Payroll, Human Resources, and external service providers to obtain required documentation and facilitate timely resolution of employee incident matters.
  • Develop and maintain standard operating procedures, templates, and documentation; recommend process improvements to enhance reporting and operational effectiveness.
  • Provide administrative support to Health, Safety and Wellness initiatives, projects, and continuous improvement activities.

Requirements

  • Degree in HR, Business, OHS, Disability Management, or equivalent.
  • 2–4 years in disability management, WSIB claims, or Occupational Health and Safety.
  • Knowledge of Ontario OHSA, WSIA, and duty to accommodate.
  • Experience with injury claims, return-to-work, and confidential records.
  • Proficiency in HRIS, case management software, and advanced Excel.
  • JHSC Certification or CDMP designation is an asset.
