About the Role
Under supervision, responsible for general administrative duties as a departmental support staff member. May provide administrative support to multiple departments based on organizational needs.
Responsibilities
- Perform data entry and prepare related reports.
- Complete required electronic information submissions.
- Participate in team meetings, take, and prepare meeting minutes.
- Complete record filing and copying to support departmental operations.
- Ensure all clinical records are complete with necessary documents and proper authentication.
- Maintain updated departmental records and distribute letters, notices, and related information.
- Arrange bulletin boards and keep them updated with required materials and announcements.
- Schedule appointments.
- Maintain confidentiality in all job duties.
- Assist with mail sorting, posting, delivery, and distribution.
- Provide reception duties, including message taking, call management, faxing, and scanning.
- Complete supply inventory, ordering, and stocking.
- Gather information as directed to assist with departmental functions.
- Process donations and cash receipts as directed.
- Alphabetize COVID sheets, parameters, and time sheets.
- Assemble newsletters and materials, or assist support staff with other requested tasks.
- Ensure accurate patient rosters and perform updates and distribution per policy.
- Take and document referral information, obtaining necessary details from referral sources or community physicians.
- Assist in tracking Hospice certification dates, physician orders, advanced directive updates, and homecare supervisory visits.
- Adhere to and reflect organizational values in daily work.
- Serve on agency committees as assigned.
- Report wrongdoing or violations of agency policy and applicable laws to supervisors or compliance officers.
- Complete all mandatory in-service education programs and any additional required hours.
Requirements

Education Level
- Associate's degree in administrative science or equivalent program, OR high school diploma with a prescribed program of administrative courses plus two years administrative experience.
