About the Role

This role supports the clinical, educational, and academic programs in the Division of Colon and Rectal Surgery, requiring a high degree of independence and judgment in a fast-paced environment.

Responsibilities

  • Perform complex secretarial and administrative duties with minimal direction.
  • Manage time and calendars for clinical, administrative, research, education, and academic commitments.
  • Triage and manage telephone calls, resolving scheduling and coordination issues.
  • Coordinate patient scheduling across multiple practice sites and manage referrals.
  • Obtain patient medical records to facilitate care.
  • Schedule appointments, imaging, surgeries, and other testing.
  • Obtain authorizations for clinic visits, procedures, and surgeries.
  • Maintain patient records, including office charts and billing documentation.
  • Transcribe, proofread, and ensure accuracy of written materials, including medical reports and correspondence.
  • Research hospital medical records for requested information.
  • Scan patient information into records and send reports/recall letters.
  • Perform front-end billing functions and pre-verify insurance.
  • Manage incoming mail and ensure timely attention and follow-up.
  • Coordinate transfer of patient studies between facilities.
  • Assist with department hiring processes by training new staff.
  • Provide coverage for absences within the division, off-site locations, and department.
  • Serve as primary contact for managing off-site practice locations, ensuring cleanliness and compliance.
  • Interface with front desk staff at off-site locations to coordinate scheduling.
  • Work at the front desk completing check-in and check-out processes.

Requirements

  • High School diploma and 2 years of relevant experience required, or equivalent combination of education and experience.

Skills

  • Medical Terminology
  • Experience with surgical/appointment scheduling software (such as Flowcast)
  • Experience with electronic medical records
  • Demonstrated customer relations skills
  • Knowledge of medical terminology
  • Proficiency in word processing, spreadsheets, and presentation software
  • Functional knowledge of ICD10 coding
  • Functional knowledge of insurance company referrals/precertification
  • Functional knowledge of worker’s compensation and demographic information
  • Functional knowledge of various office equipment
