About the Role

This temporary role, lasting approximately 3 months starting in late August, involves managing the day-to-day operations of the Human Resources and accounting departments at the Hilton Garden Inn Chelsea. Responsibilities include greeting guests, administering benefits, conducting enrollments, and troubleshooting issues.

Responsibilities

  • Assist associates with requests and information, addressing concerns in a timely manner.
  • Assist the Human Resources Director or Manager in guiding staff on effective recruiting and interviewing techniques.
  • Schedule interviews and process related paperwork.
  • Create and update Human Resources bulletin boards and other posting locations.
  • Maintain accurate and updated department and associate files.
  • Explain benefits and assist with enrollment and claims processing.
  • Assist with associate relations events and recognition programs.
  • Process benefits enrollments and other functions electronically.
  • Coordinate pre-selection activities, reference checks, and background checks to ensure compliance.
  • Respond to all interviewed applicants via telephone or letter within the required timeframe.
  • Administer wages and benefits, ensuring accurate and equitable application.
  • Prepare correspondence and memos as needed.
  • Ensure all new hires and existing associates possess proper employment eligibility verifications.
  • Comply with attendance rules and be available to work on a regular basis.
  • Perform any other job-related duties as assigned.
  • Process bi-weekly payroll for the property.
  • File and distribute credit card cancellations, bulletins, and credit warnings.
  • Process and follow up on all returned checks accepted as cash payment.
  • Ensure excellent service and guest correspondence with credit card and payment inquiries.
  • Reconcile bank account with daily cash reconciliation journal, validate deposits in transit, and reconcile bank accounts monthly to the General Ledger.
  • Reconcile credit card back-up to the General Cashier Summary and inform the Controller of any discrepancies.
  • Bill out credit cards (AMEX, DINERS, etc.) and maintain accurate logs.
  • Reconcile credit cards monthly to the General Ledger.
  • Set up new vendor accounts in accordance with established policy.
  • Verify that purchasing procedures are followed, comparing purchase order details to invoice details.
  • Maintain an accurate, up-to-date Purchase Order Log.
  • Route invoices with purchase orders attached to department heads and Executive Committee members for approval.
  • Ensure account coding is accurate and all invoices are returned on a timely basis.
  • Process all approved invoices for payment, ensuring appropriate signatures and back-up are attached.
  • Pay all hotel invoices in a timely manner, ensuring accuracy of amount paid, account coding, invoice extension, and that all discounts are taken.
  • Reconcile outstanding checks with the AP aging report monthly.

Requirements

  • Hotel experience required.
  • Experience with Workday HRIS preferred.
  • Knowledge of hotel operations, including marketing plans, security and safety programs, personnel and labor relations, business plan preparation, repairs, maintenance, budget forecasting, quality assurance programs, hospitality law, and long-range planning.
  • Leadership skills to motivate and develop staff and ensure accomplishment of goals.
  • Able to set priorities, plan, organize, and delegate.
  • Written communication skills to be concise, well organized, complete, and clear.
  • Ability to work effectively under time constraints and deadlines.
  • Effective verbal and written communication skills.
  • Ability to adapt communication style to suit different audiences.
