About the Role
The Sales Coordinator will handle the day-to-day administrative duties of the Sales and Catering Department at The Barnett, a distinctive Art Deco hotel in New Orleans.
Responsibilities
- Serve as the point of contact for the sales office.
- Coordinate and act as the point of contact for assigned leisure group blocks.
- Coordinate with Front Office(s) on daily showrooms and communicate information to sales and catering managers.
- Assign group leads from all channels to appropriate sales/catering managers and ensure leads are entered into the sales and catering software.
- Print and distribute weekly group pick-up and group cut-off reports for assigned hotels.
- Load new groups and build booking links for assigned hotels.
- Conduct quarterly audits of sales and PMS systems for accuracy.
- Make reservations for BT managers and input rooming lists for group sales managers.
- Pull rooming lists for groups and managers upon request.
- Actualize room blocks, catering, and banquet functions in the sales system after group departure.
- Schedule in-house events and create BEOs.
- Input meeting planner points and special corporate travel promotions for assigned hotels.
- Manage HRI SCORE Program and Brand Referral Program, including processing commissions and pickup reports.
- Manage group commissions by verifying and processing payments.
- Run daily and weekly reports (transaction, activities, group in-house reader boards, HySat, BEO, resume, daily events).
- Manage and upkeep the Master BEO binder.
- Print the next day's events report, note groups in house, and deliver to relevant departments before the daily stand-up meeting.
- Personalize gift certificates, maintain paper and digital records.
- Create and distribute group resumes at least 10 days before group arrival.
- Create the coversheet for the weekly resume meeting and scan a copy.
- Prepare resume packets for the resume meeting.
- Conduct weekly meetings with Front Office directors to review upcoming groups.
- Fill out amenity forms and cards for groups and weddings, ensuring delivery information is communicated.
- Send packages via FedEx for managers and groups.
- Create personalized menus, signage, table numbers, name tents, and buffet cards for groups and private dinners.
- Create breakfast and drink vouchers for various packages and member types.
- Order collateral for sales kits, promotions, amenity cards, envelopes, and business cards.
- Order supplies through Birchstreet and maintain organization of the supply closet.
- Assemble sales kits, flyers, and signs for assigned hotels.
- Create file folders for contracts and file past groups.
- Process incoming deposit checks.
- Attend property staff and other meetings as requested.
- Perform other duties as assigned.
Requirements
- High School Diploma required.
- A minimum of one year of hospitality experience is desired.
- Hotel sales systems knowledge preferred.
- Previous customer service experience is a bonus.
