About the Role
The University of Rochester is seeking an individual to provide administrative and managerial support for the Child Neurology division, ensuring necessary support for all divisional activities. This role involves planning, directing, and coordinating fiscal, administrative, and personnel functions, while maintaining strong working relationships with faculty and administrative staff.
Responsibilities
- Provide administrative and managerial support for the divisions, assuring necessary support for all divisional activities.
- Plan, direct, and coordinate all phases of fiscal, administrative, and personnel functions within the divisions.
- Maintain strong working relationships with all division faculty, department administrators, and hospital and medical school administrative staff.
- Manage clinical, administrative, and financial activities for the Child Neurology division.
- Prepare operating and capital budgets, conduct financial analysis, and oversee program planning and development.
- Develop, monitor, and control hospital accounts.
- Prepare and administer capital and operating budgets in conjunction with the department finance team.
- Review monthly reports from the Department and hospital to identify trends and explain variances.
- Manage fiscal aspects of the division, including monitoring and controlling expenses.
- Develop, interpret, and track statistical measures and reports to monitor provider productivity.
- Review monthly reports to identify volume trends and address variances.
- Ensure proper payment for work undertaken.
- Provide oversight of division operations and collaborate with leaders to create optimal workflows.
- Facilitate institutional resources to troubleshoot issues such as IT, finance, and space.
- Resolve patient-related matters.
- Communicate clinical scheduling and communication issues.
- Oversee the Child Neurology Access Center, including incoming calls, referrals, and prior authorizations.
- Partner with the Division Chief and Lead Advanced Practice Provider to ensure smooth clinical operations.
- Monitor schedule utilization, physician productivity, and patient access, taking appropriate actions.
- Represent the divisions on the Ambulatory Clinical Council.
- Monitor patient satisfaction results and work with the Chief to resolve patient issues.
- Provide guidance on personnel administration, including recruitment, hiring, supervision, performance evaluation, compensation, discipline, termination, employee rights, leave, disability, and benefits.
- Manage, develop, and train office clerical staff, prioritizing and allocating workload.
- Monitor staff compensation levels.
- Provide operational support to research projects in collaboration with Research Administrators.
- Assist with hiring and managing research support staff and procurement of goods and services.
- Maintain knowledge of the division's research portfolio to understand fiscal challenges and needs.
- Support the management and maintenance of documents for research projects.
- Oversee procurement/purchasing functions for all division accounts, including reconciliation and problem resolution.
- Analyze revenue and expense trends and make recommendations regarding compliance with University policies.
- Coordinate fellowship programs by assisting with recruiting, orientation, schedules, and reimbursements.
- Perform other duties as assigned.
Requirements
- Bachelor's degree and 5 years of relevant experience required.
- Equivalent combination of education and experience is acceptable.
Skills
- Previous experience developing annual capital and operational budgets preferred.
