About the Role

The Research Foundation for Mental Hygiene, Inc. is seeking a qualified candidate to fill the full-time position of Executive Assistant for the Executive Deputy Commissioner. This role supports the leadership and coordination across the Division of Mental Hygiene, which applies public health, racial justice, and health equity approaches to policy, programs, and provider oversight related to mental health and substance use.

Responsibilities

  • Manage EDC schedule, including sending calendar invites, addressing scheduling conflicts, and responding to meeting inquiries in consultation with the Executive Director of Mental Hygiene.
  • Ensure all EDC meetings are appropriately prepared, including Teams links, room reservations, and attendee information.
  • Manage the desk phone and email of the EDC, triaging requests and responding on behalf of the EDC as needed.
  • Coordinate all logistics for EDC travel arrangements, including hotel, air/ground transportation, and submitting pre and post-travel requests.
  • Track and obtain EDC approval and signatures for documents, in consultation with the Executive Director of Mental Hygiene.
  • Manage schedule and role assignments for internal office check-ins.
  • Schedule logistics for All Staff Divisional Meetings, including submitting tickets to facilities, IT, and language access, and room set-up.
  • Support the coordination of division-wide events: arrange conference space, notify participants, track RSVPs, prepare meeting notices/agendas/notes, coordinate room reservations, set-up, refreshments, and equipment.
  • Manage onboarding logistics for new employees, coordinating with central admin.
  • Perform other administrative tasks as needed, including Divisional operation tasks and administrative support for the EDC.

Requirements

  • Associate's degree from an accredited college/university and 3 years of full-time clerical/administrative experience.
  • Bachelor's degree from an accredited college/university may substitute for one year of full-time clerical/administrative experience.
  • One year of experience must have been in an administrative capacity involving clerical, administrative, and coordination duties on behalf of a broader team or organization.
  • Applicants must be currently authorized to work in the United States.
