About the Role

Provide vital administrative and day-to-day support to our VP of Affiliate Distribution, VP of Commercial Development and VP of Transactional, maintaining a high professional standard of communication. Partner with the Platform Distribution Executive Assistant and wider team to act as a central point of contact.

Responsibilities

  • Actively manage and implement effective day-to-day diary organization for UK Content & Affiliate Sales leadership team.
  • Ensure scheduling of timely updates and weekly briefings.
  • Communicate and liaise with other LOBs as required.
  • Actively support daily time management between meetings.
  • Plan and schedule internal and external meetings for Affiliate, Content Sales and Transactional teams.
  • Facilitate agenda creation and distribution.
  • Work with internal catering company to provide catering (within budget) when required.
  • Manage all travel, transport and accommodation requirements including itineraries and bookings.
  • Ensure all bookings are made within budget and in line with TWDC Travel & Expense policy.
  • Collate and file all expenses accurately and within required time-frame.
  • Ensure all technical training in support of the above is completed and refreshers attended where required.
  • Manage TWDC administrative systems (e.g. SAP, Condeco, etc.).
  • Support PD leadership team with miscellaneous tasks.
  • Liaise with staff, suppliers and clients, as required.
  • Support wider Platform Distribution leadership team in organising and implementing events, screenings and department functions.
  • Provide ad hoc support when needed for the wider PD team.
  • Act as central administrative point of contact for the PD team both internally and externally.
  • Ensure timely and professional handling of all queries.
  • Manage and maintain filing systems, consistently seeking out improvements.

Requirements

  • Proven experience as a Personal Assistant to senior executives.
  • Demonstrable working knowledge of MS Office, SAP, Concur and other associated administrative systems.
  • Experience working in a fast-paced, large multi-national organization.
  • High standards of verbal and written communication both external and internal – someone who can identify the audience and address them appropriately.
  • Open and approachable.
  • Able to work on own with minimal input from others but manage to get the job completed.
  • Multi-tasking with tenacity to handle working with multiple stakeholders.
  • Flexes to demands of role and support required to ensure timely delivery.
  • Detail orientated – manage detail, manage nuances and document accurately.
  • Strong team player with superlative inter-personal skills.
  • Consideration of the needs of other people and plan accordingly.
  • Ability to solve problems by efficient decision making.
