About the Role
The Immigration Attorneys at Harris Beach Murtha are searching for an Administrative Assistant to perform legal, clerical, and secretarial duties. This role involves managing case files, organizing documents, and supporting attorneys and paralegals with various tasks.
Responsibilities
- Performing legal, clerical, and secretarial duties.
- Transcribing and typing correspondence, memoranda, and project work.
- Proofreading and ensuring the quality of legal documents.
- Keeping cases organized by establishing and organizing files.
- Monitoring calendars and meeting deadlines.
- Documenting actions and inputting information into file databases and case management software.
- Confirming case status with attorneys.
- Assisting with nonimmigrant and immigrant visa filings, organizing exhibits.
- Assisting paralegals with the preparation and filing of immigration petitions.
- Collecting information and documentation from clients, including initial screening of “cold calls” and client referrals.
- Assisting partners and attorneys in drafting client engagement letters.
- Writing, proofreading, sending, filing, and managing correspondence, memos, pleadings, contracts, forms, indices, and other related documents.
- Keeping clients informed by maintaining contact and communicating case progress.
- Entering conflict information into the system for conflict checks.
- Assisting with opening new matters and maintaining files.
- Coordinating mass mailings, including filings with local, state, and federal courts and agencies.
- Typing correspondence and legal documents from draft, oral dictation, or recordings.
- Coordinating travel arrangements, securing air, hotel, and car plans for attorneys and clients.
- Processing invoices and attorney expense reimbursement requests.
- Assembling document packages including copying, tabbing, and scanning.
- Assisting with other duties as needed.
Requirements
- 2+ years of experience as a legal administrative assistant.
- Experience in business immigration (preferred).
- Exceptional oral and written communication skills.
- Exceptional organizational skills.
- Superior client service skills.
- Superior listening skills for anticipating needs of clients and attorneys.
- Proficiency with MS Office, including Word, Outlook, and Excel.
- Ability to efficiently use technology resources.
- Ability to effectively multi-task, meet deadlines, and provide solutions in a fast-paced office setting.
- Good organizational skills for prioritizing workload.
- Comfortable working in the office every day.

- Boston, MA: Salary information will vary depending upon relevant experience for the position, geographic locations and weekly hours schedule.
