About the Role

As an Assistant Facilities Manager, you will play a vital role in ensuring the buildings within your care are safe, secure, and fully operational for staff, residents, and visitors. This is a hands-on role with a wide remit, focusing on delivering a high-quality facilities management service.

Responsibilities

  • Take ownership of regular site visits, inspections, audits, and risk assessments.
  • Ensure health and safety compliance, including planning and coordinating fire drills, maintaining evacuation arrangements and records, and keeping emergency plans and site maps up to date.
  • Lead Building User Group (BUG) meetings, acting as the key liaison for occupiers.
  • Collaborate with technical and compliance colleagues to interpret survey results, prioritize works, and monitor completion.
  • Monitor planned preventative maintenance (PPM) and manage arising works.
  • Hold contractors accountable for delivering their obligations and meeting compliance standards.
  • Conduct site security reviews.
  • Manage data, including TF Cloud systems.
  • Resolve issues.
  • Report on performance.
  • Problem-solve operational challenges.
  • Support a performance-focused culture across the FM team and contractors.
  • Meet regularly with contractors on-site to address outstanding service issues and ensure improvements are made.

Requirements

  • Solid experience in both hard and soft facilities management.
  • Proven ability to manage building services.
  • Experience overseeing FM contractors.
  • Ability to deliver a wide range of operational and compliance-based tasks.
  • Confidence in delivering safe, efficient, and high-quality services.
  • Comfortable carrying out health, safety, and security audits.
  • Understanding of good contractor performance.
  • Detail-oriented and focused on delivering value for money.
  • Strong stakeholder management and communication skills.
  • Ability to work with a range of people, from technical contractors to building users.
  • Ability to present information clearly to a variety of audiences.
  • Ability to listen, understand other perspectives, and build positive relationships.
  • Highly organised and proactive.
  • Confident inputting and managing data across systems.
  • Ability to use reports to drive activity.
  • Good general IT skills.
  • Ability to keep records accurate and up to date.
