About the Role
The Housing Coordinator / Office Assistant provides administrative and customer service support for housing programs and office functions. This role assists with coordinating housing referrals and leases, maintaining records, scheduling appointments, communicating with clients and partners, and supporting daily office operations to ensure professional and efficient service delivery.
Responsibilities
- Assists Program Director and Building Manager in all aspects of office functioning, including operating and maintaining the office.
- Greets and announces clients, and escorts vendors and visitors.
- Ensures outgoing mail is properly posted and sent daily.
- Provides general oversight of office, maintenance, and program supplies, including tracking inventory and ordering within budget with approval.
- Orders, tracks, and organizes office and program supplies for staff.
- Files, organizes, assembles, and maintains client charts, incident reports, building maintenance files, and other forms.
- Handles requestor duties for the fiscal department, including entering and following up on project invoices, petty cash reconciliation, and disbursement forms.
- Tracks petty cash receipts and submits monthly reports.
- Tracks, codes, and submits all monthly invoices into the online Intacct Financial System.
- Tracks and organizes office paperwork to determine retention or shredding based on funder requirements.
- Tracks and records monthly intakes in AWARDS, CAIRS, and YARDI.
- Tracks and assists with the completion of quarterly apartment inspections.
- Collects monthly rent payments from clients, copies, files, and delivers rent to the third-party management company.
- Collaborates with Social Services and Building Management to assist clients with application packets for section 8 rental subsidies and one-shot deals.
- Collaborates with Social Services and Building Management to assist clients with re-certification of section 8 rental subsidies and lease renewals.
- Attends staff meetings, training, and coaching sessions.
- Performs any other tasks or errands needed for overall operations as deemed necessary by the Program Director and Building Manager.
Requirements
- High School Diploma or GED required.
- Prior experience in housing office management preferred.
- Prior work experience with homeless/mentally ill individuals preferred, but not required.
- Knowledge of low-income subsidies, HQS inspections, and building violations.
- Ability to learn and use multiple databases, including AWARDS and Intacct.
- Must be able to lift up to 30lbs.
- Walking to visit clients in apartments.
- Travel to the main office and 3rd party management office weekly.
