About the Role

The Surgical Scheduler, Senior Specialist is a lead individual proficient in the surgical scheduling process, overseeing a group of Surgical Schedulers. This role services providers across the system in multiple locations with a high volume of visits, taking the lead in troubleshooting scheduling issues and monitoring workflow for efficiency.

Responsibilities

• Coordination of all O.R. surgeries and procedures.
• Monitoring front office workflow and making adjustments to ensure optimum delivery of service.
• Verification of patient demographics and obtaining pre-certification from insurance carriers for all O.R. surgeries and procedures.
• Obtaining patient medical clearance.
• Resolution of patient issues or answering questions regarding policies and procedures.
• Placing surgical confirmation calls one day in advance of a scheduled surgery or procedure date.
• Scheduling post-op follow-up visits with providers.
• Functioning as liaison between referring physicians and surgeons for communication of clinical data and to determine O.R. scheduling.
• Training and mentoring other Surgical Scheduling Coordinators or less senior staff within the unit.
• Collecting and distributing appropriate paperwork to internal and external parties to coordinate the surgeries.
• Recording of hospital reservation and pre-admit data in the CERNER system.
• Inputting surgical information in EPIC.
• Coordinating surgeries at multiple institutions each with individual and different requirements.
• Coordinating surgeries between multiple surgeons and departments for the purpose of co-surgical completion of cases.
• Monitoring hospital O.R. block time schedule to assure a surgeon is assigned the appropriate room.
• Coordinating COVID testing appointments for all surgical cases.
• Informing O.R. staff about any special instruments needed for a case.
• Working closely with clinical and billing teams to ensure proper coverage and all authorizations are in place before surgery.
• Coordinating peer to peer communications between insurance carriers and surgeons.
• Working closely with hospital billing for coordination of case authorization.
• Performing other duties and responsibilities as assigned.

Requirements

• 5+ years of scheduling experience (preferably surgical scheduling) or closely related healthcare administrative experience.

Experience Level

Education Level

• Associates or Bachelors degree is preferred, or a combination of related experience and education.

Salary/Compensations

• $64526.72 - $89843 Annually
