About the Role

This temporary position is needed for the implementation of the new OpenGov permitting system and the transition from the old system to the new system. The permitting system affects nearly all aspects of the Department’s core work. New business processes need to be developed and implemented. These positions will work on testing and validating the new business processes to ensure customer service is not interrupted.

Responsibilities

  • Perform a wide variety of 1st level paraprofessional, technical, administrative and specialized work involved in receiving and reviewing building, electrical, plumbing and related permit applications for completeness.
  • Process records requests.
  • Create inspection records.
  • Make appointments.
  • Maintain field inspection lists.
  • Provide routine permit-related information concerning building permit requirements, codes, ordinances and inspection procedures.
  • Schedule inspections.
  • Accept complaints for BID, EID, HIS and PID.
  • Screen and direct calls to Inspections Services staff.
  • Assist customers in person, by phone and email, identifying customer needs and directing to appropriate staff.
  • Process payments for a variety of services provided by Inspection Services.
  • Receive and resolve a variety of routine problems, issues and complaints, referring complex or misdirected issues to appropriate division and staff.
  • Support the Director’s Hearing process by receiving and preparing Notices of Violation, preparing mailings, setting up hearing rooms, and preparing Orders of Abatement.
  • Review and process applications for boilers, homeowner permits, permit extensions, TCOs, night noise permits etc.
  • Monitor specialized email accounts and respond as appropriate.
  • Assist and interact with external and internal stakeholders.
  • Calculate, collect, record and balance monetary transactions.
  • Generate and maintain various records, documents and data.
  • Process permit applications, issue permits, and help support Project Coordinator unique to OpenGov permitting system.
  • Schedule inspections and process mechanical/boiler permits, special inspections, complaints, notices of violations, and certificates of occupancy.

Requirements

  • Two (2) years of verifiable clerical experience including interacting with the public, preparing and maintaining a variety of records and/or documents, filing, use of office equipment, public contact and processing of incoming and outgoing mail.
  • Completion of a clerical training program of at least two-hundred and forty (240) hours may substitute for six (6) months of the required experience.
  • Completion of fifteen (15) semester or twenty-four (24) quarter units of coursework from an accredited college or university may substitute for six (6) months of the required experience.
  • Applicants may be required to submit verification of qualifying education and experience at any point during the recruitment and selection process.
