About the Role
The Human Resources Administrative Assistant will provide vital administrative, operational, and coordination support to the Human Resources department, ensuring seamless daily operations and serving as a warm, professional first point of contact for team members and candidates. This foundational role focuses on maintaining audit-ready employee records, supporting recruitment and onboarding logistics, coordinating training sessions, and executing internal employee touchpoints with care and accuracy.
Responsibilities
- Provide day-to-day administrative support for recruitment workflows, interview scheduling, candidate correspondence, and onboarding logistics.
- Assist in preparing classroom training materials, setting up orientation spaces, and managing attendance rosters for orientations and compliance courses.
- Maintain a well-organized database of candidate logs, employment applications, and internal personnel files.
- Input, update, and maintain records within human resources database systems, learning management systems (LMS), and HRIS tools.
- Draft routine candidate correspondence, offer packets, employment verification letters, and assist leadership with compensation and benefit tracking logs.
- Shape the overall candidate, employee, and trainee experience, ensuring every first and last impression reflects the hotel’s unique identity.
- Support training action plans by coordinating logistics, preparing presentation materials, and tracking participation.
- Ensure every HR office touchpoint, candidate greeting, and administrative interaction is intentional and engaging.
- Support the delivery of personalized employee recognition events, milestone celebrations, and internal growth experiences.
- Serve as an accessible point of contact for team members, answering routine administrative inquiries regarding policies, benefit forms, and general HR workflows.
- Assemble customized welcome kits and support career milestones for high-potential team members.
- Tabulate employee satisfaction scores, compile training feedback logs, and monitor metrics.
- Provide administrative support to the Human Resources Manager and Director of People Support, maintaining calendars, departmental logs, and office communications.
- Foster an office culture of professional warmth, excellence, discretion, and collaboration.
- Partner closely with department heads to collect documentation, distribute training schedules, and support service delivery.
- Assist in monitoring HR-related vendor invoices, order receipts, and routine communications with external training partners and brokers.
- Manage departmental supplies, training resources, team event inventory controls, and HR office expenses.
- Process routine HR invoices, track expense receipts, and coordinate with accounting for timely processing.
- Ensure all internal HR audit standards, training compliance logs, I-9 records, and physical/digital employee files are strictly maintained and audit-ready.
- Uphold safety, cleanliness, security, and operational protocols for team members.
- Support administrative requirements for the hotel’s safety committee, ensuring strict compliance with OSHA, MSDS, and local labor standards.
- Follow established sustainability guidelines and green hospitality practices.
Requirements
- 1–2 years of progressive administrative experience, preferably within a Human Resources department or luxury, five-star hospitality environment.
- High level of proficiency with HRIS software, LMS platforms, and standard business applications (Microsoft Office Suite, Excel, Word, PowerPoint).
- High degree of discretion, confidentiality, and refined interpersonal abilities.
- Strong organizational and communication skills with meticulous attention to detail.
- Proven ability to manage multiple administrative priorities, multitask, and thrive in a fast-paced setting.
- Flexible schedule required, including occasional early mornings, evenings, or weekends.
- Physically active role requiring regular movement throughout the property, including standing for extended periods, walking, and the ability to lift up to 25 pounds.
