About the Role
The Department Administrator functions as the chief operating and financial administrator, supporting the department's missions. This individual serves as the principal non-physician leader responsible for clinical and academic business activities and administrative services, managing operations, human resources, financial planning, and budgeting.
Responsibilities
- Manage all departmental fiscal affairs from various funding sources.
- Administer financial targets and budgets, including research grants and academic program expenditures.
- Develop and utilize statistical and financial performance measures.
- Control costs by monitoring operating expenditures, evaluating productivity, and developing cost-effective strategies.
- Collaborate with leadership on fee structures, charge coding, collection policies, A/R tracking, managed care policies, and office procedures.
- Manage the fiscal implications of developing fellowship programs and ensure compliant billing regulations.
- Provide direction and guidance for daily administration and management of the department.
- Support staff in providing safe, cost-effective healthcare.
- Facilitate compliance with all regulatory requirements (DPH, OSHA, JCAHO, HIPPA, etc.).
- Manage Human Resources transactions including hiring, training, reviews, transfers, disciplinary actions, terminations, and recruitment strategies.
- Address colleague/patient/customer needs and anticipate future requirements.
- Utilize patient satisfaction data to identify and implement best practices.
- Conduct research and analysis of market trends.
- Explore viability of new service lines or products and develop business plans.
- Participate in marketing and promotional initiatives.
- Maintain knowledge of the changing healthcare environment and evaluate market needs.
- Oversee the clinical practice, ensuring compliance with JCAHO, DOH, and HIPAA regulations.
- Advise on proposed legislation or local policy changes impacting the practice.
- Evaluate and assess practice methodologies to eliminate duplication.
- Administer legal aspects of professional corporations.
- Implement practice service standards and policies to maximize revenue.
- Oversee all aspects of patient relations.
- Manage outpatient practice operations, including patient flow, scheduling, resource allocation, equipment, and facilities.
- Initiate and administer marketing endeavors.
- Develop and update patient brochures and marketing materials.
- Collaborate with leadership to identify clinical, administrative, and safety issues.
- Assume primary responsibility for effective participation in MACRA.
- Perform other duties as assigned.
Requirements
- Bachelor’s degree (foreign equivalent or higher).
- Five (5) years of full-time progressive management experience within a hospital, clinic, academic medical center, health system, and/or multi-specialty medical group.
- Experience with developing, implementing and communicating department policies and procedures.

- FLSA Exempt position, not eligible for the overtime provisions of the FLSA.
- Minimum salary threshold must be met to maintain FLSA exemption.
- This has been designated as an essential position and may be required to report to work/remain at work during emergencies.

- Excellent written and verbal communication skills.
- Organization skills in planning and implementing administrative controls.
- Ability to manage multiple projects and initiatives simultaneously.
- Familiarity with Faculty personnel, salary, and advancement issues.
- Familiarity with funds flow matters in an academic setting.
- Entrepreneurial experience in developing and executing successful business and strategic plans in highly competitive markets.
- Knowledge of national, state and local market trends and issues.
- Process improvement techniques; including but not limited to Six Sigma Lean.
- Proficient with metrics-based approach to management.
- Public speaking and presentation experience.
