About the Role

Rome Health is seeking three CareSync Implementation Project Managers to support the organization's transition to the MEDITECH Electronic Medical Record (EMR) system. These positions will coordinate internal and external resources for the successful implementation of assigned application areas, working closely with MEDITECH, leadership, stakeholders, and vendors throughout all project phases.

Responsibilities

  • Serve as the implementation project manager for assigned application areas.
  • Coordinate with MEDITECH's Implementation Team for integrated training sessions, on-site visits, webinars, conference calls, testing, and implementation activities.
  • Keep the Chief Information Officer (CIO) and Site Project Manager informed of issues affecting project timelines and implementation success.
  • Collaborate with the CIO, Site Project Manager, Physician Systems Manager, Financial Systems Manager, IT staff, and departmental leaders to ensure a consistent implementation approach.
  • Conduct regular project status meetings with application team leads.
  • Review current-state workflows and facilitate future-state workflow redesign.
  • Ensure organizational governance policies and project standards are followed.
  • Maintain project documentation, including decision logs and status reports.
  • Attend application training sessions to develop a thorough understanding of system functionality and integration.
  • Develop, maintain, and utilize project management tools to monitor implementation progress and meet project deadlines.
  • Facilitate multidisciplinary collaboration related to workflow redesign, content development, and application integration.
  • Identify project risks and implement mitigation strategies.
  • Coordinate pre-implementation and implementation activities, including planning meetings, integrated training visits, testing sessions, product demonstrations, and parallel run activities.
  • Develop knowledge of application functionality, workflows, and system integration points.
  • Collaborate with IT staff to ensure application background jobs and system processes are monitored and maintained.
  • Coordinate data conversion activities, including vendor communication, timeline management, file validation, and data verification.
  • Coordinate testing, validation, and future software updates for assigned applications.
  • Serve as the communication liaison between Rome Health, MEDITECH, and applicable third-party vendors.
  • Maintain accountability for project schedules, staffing coordination, stakeholder participation, and successful implementation outcomes.
  • Responsible for coordinating the implementation of all clinical and ancillary applications.
  • Work closely with the Physician Systems Manager throughout implementation.
  • Coordinate communication with clinical vendors including, but not limited to: Formulary service vendors, Standard content vendors, Dispensing machine vendors, PACS vendors, Other clinical application vendors.
  • Facilitate implementation activities supporting nursing, ancillary, and physician workflows.
  • Responsible for coordinating the implementation of financial and administrative applications, including: Revenue Cycle, Patient Access, Health Information Management, General Accounting, Supply Chain Management.
  • Coordinate with vendors supporting: Encoder systems, Check clearing house services, Other financial and administrative applications.
  • Responsible for coordinating the implementation of organizational training and testing activities supporting the project.
  • Coordinate organization-wide training schedules and education resources.
  • Support development and execution of testing plans for each phase of testing.
  • Coordinate integrated testing and user acceptance testing activities.
  • Assist with development of training materials and educational resources.
  • Organize tracking of all training activities and status of each user.
  • Work closely with education teams to support end-user readiness for Go-Live.

Requirements

  • Bachelor's degree in a healthcare, business, education, information technology, or related field, or equivalent combination of education and experience preferred.
  • Demonstrated project management, organizational, and coordination skills.
  • Ability to successfully manage multiple priorities and meet aggressive deadlines.
  • Strong leadership skills with the ability to influence and motivate cross-functional teams without direct supervisory authority.
  • Excellent written, verbal, presentation, and interpersonal communication skills.
  • Ability to work collaboratively with individuals at all organizational levels.
  • Strong analytical and problem-solving skills.
  • Ability to organize complex projects and maintain detailed documentation.
  • Positive, proactive attitude with a strong work ethic.
  • Ability to develop project plans and support targeted training initiatives.
  • Clinical background or strong knowledge of clinical and ancillary healthcare operations.
  • Understanding of clinical workflows and interdisciplinary communication.
  • Experience working with physicians, nursing, and ancillary departments preferred.
  • Financial or administrative background or strong knowledge of healthcare financial operations.
  • Understanding of revenue cycle, patient access, accounting, supply chain, or health information management processes.
  • Background in education, training, instructional design, organizational development, or healthcare administration.
  • Experience coordinating training programs, educational initiatives, or testing activities preferred.
  • Knowledge of adult learning principles and user readiness initiatives is desirable.
