About the Role
CXTEC is seeking a detail-oriented Accounts Payable Representative to manage invoices, payments, reconciliations, and vendor relationships. The ideal candidate will ensure accuracy, accountability, and exceptional service while proactively solving problems and identifying process improvements within a collaborative accounting team.
Responsibilities
- Enter and review daily vendor invoices, auditing for completeness and accuracy.
- Ensure proper accounting for transactions impacting accrued inventory, including researching and validating credits, discrepancies, returns, and monthly statement reconciliations.
- Collaborate with department and warehouse managers, and vendors with payment terms less than Net 30 to meet CXTEC’s standard terms.
- Research discrepancies concerning invoices/credits, PO’s, packing slips, and inventory concerns, working with appropriate personnel for timely resolution.
- Follow up with vendors for resolution of pending credits prior to month-end closing.
- Adhere to Import Compliance guidelines and ISO 9001:2015 procedures.
- Complete weekly scheduled payment runs to ensure payment within terms, obtaining appropriate approvals.
- Process and monitor employee expenses using online systems.
- Audit “Quick” check requests and issue as needed, obtaining appropriate approvals.
- Ensure credit card transactions are processed in adherence to corporate policy.
- Resolve “Invoice On-Holds” on a weekly basis.
- Copy and file check detail/backup electronically or in hard copy on a regular basis not to exceed a week.
- Scan documents and provide backup to the team when needed.
- Reconcile vendor and credit card statements and ensure complete accruals are provided to GL each month.
- Respond to vendor and internal inquiries, striving for a resolution within the next business week.
- Request W-9 forms for AP records and 1099 filing, following up as necessary.
- Request method of payment (e.g., ACH, check).
- Present ideas to improve departmental efficiency through the system or through a better workflow.
- Assume additional responsibilities as required and provide backup as needed.

- Proficient in Microsoft 365.
- Experience with Oracle preferred.
