About the Role
The Regional Business Services Officer coordinates and executes administrative support services for all HHS agency programs in a regional geographic area. This role involves facility leasing and management, space planning, office moves, safety and security, maintenance coordination, contract management, and asset management to ensure smooth operations of regional client service programs.
Responsibilities
- Conducts regular scheduled visits to local/field offices to perform facility reviews and ensure timely correction of building problems and safety issues.
- Counsels and trains Local Office Coordinators on available RAS services, assistance requests, and monitoring/reporting of safety or security concerns.
- Manages all service requests and resolves facility issues for assigned offices, including coordinating purchases, contracting repair/maintenance, managing emergency/security incidents, and addressing accessibility/safety concerns.
- Maintains productive relationships with LOCs to facilitate effective RAS service delivery.
- Analyzes and reviews space utilization among agencies to determine efficiencies and consults with programs on space requests.
- Evaluates options for relocation, adding space, or obtaining new leases, and implements RAS space allocation guidelines.
- Recommends cost-effective space options to program and RAS management and manages space projects to completion.
- Develops specifications for services and manages service contracts for regional offices, including janitorial, security, locksmiths, electricians, plumbing, HVAC, freight/shipping/postage meters, office equipment supply and maintenance, and carpet cleaning.
- Coordinates with RAS warehouse and asset management staff for pickup, transfer, and disposition of agency records and surplus furniture/equipment.
- Assists in annual inventory, locating, scanning, and reconciling reports on controlled assets.
- Assists in developing and implementing policies, procedures, and special projects to improve RAS service delivery or meet regional program needs.
- Prepares reports, serves on workgroups, provides technical assistance, manages emergency tasks, and performs other duties.
- Assigns and oversees work of other support staff in Business Services.
Requirements
- Valid Class C Texas Driver’s License.
- High School diploma or GED is required.
- Knowledge of Business Services operations and processes.
- Knowledge of contract management, facility leasing and facility management.
- Skill in computer usage including Microsoft Office Suite.
- Experience performing supervisory, managerial, professional, or technical work.
- Ability to manage multiple projects.
- Ability to communicate effectively in writing as demonstrated in the application.
- Ability to work outside normal business hours as required, which may include responding to facility related emergencies.
- May assist with emergency/disaster situations throughout the state.
- Ability to travel which may include overnight stays.
- Applicants selected for hire may be required to pass background and other due diligence checks.
- Must bring I-9 documentation on the first day of work.
