About the Role
As an Assistant Facilities Manager, you will be instrumental in supporting the Facility Manager with the delivery of services to operate and maintain our client's properties. Your role will encompass customer service, financial management, facility maintenance, procurement, and supplier management. This position is a key part of our collective effort in shaping a brighter way for our clients and their communities.
Responsibilities
- Support the Facility Manager with tactical planning and daily operational needs across an assigned portfolio of locations.
- Manage facility work orders from creation through completion, ensuring timely follow-up and accurate documentation.
- Coordinate vendor scheduling, monitor performance, and serve as a central point of contact for service providers.
- Process and review facility-related invoices, manage routine purchasing, and escalate discrepancies as needed.
- Coordinate maintenance requests with landlords and property management teams, tracking status through to resolution.
- Handle administrative requests including access management, certificate of insurance verifications, and management of a shared inbox.
- Monitor and report on facility operations to ensure all KPIs and service level agreements are met or exceeded.
Requirements
- HS diploma or GED
- A minimum of 2 years of industry experience, either in a corporate environment or as a third-party service provider.
- Strong leadership and relationship-building skills.
- Excellent interpersonal and problem-solving abilities, contributing to a team where everyone is empowered to thrive.
- Strong knowledge of Microsoft Office products, including Outlook and Excel.
- Experience with Computerized Maintenance Management Systems (CMMS).
- Bachelor's Degree or equivalent work experience in Facilities Management or Property Management.
- Experience assisting with budgetary requests, analysis, and reporting.
- Proven ability to work with full engagement as a member of a remote team.
- Experience managing facilities in commercial properties, particularly Class A buildings, within banking or retail spaces will be a plus.
- Working knowledge of commercial electrical systems.
- Candidates must be authorized to work in the United States without sponsorship.
