About the Role
This role supports the Practice Coordinator in managing daily operations, including patient check-in, scheduling, and administrative tasks within the Pulmonary Medicine department.
Responsibilities
- Facilitate coordination of daily check-in, scheduling, check-out, and back-end duties.
- Support staff and assist all patients at the front check-in desk.
- Coordinate patient referrals and prior authorizations for diagnostic testing or procedures.
- Schedule surgical procedures.
- Greet patients promptly, courteously, and professionally.
- Interact with a diverse patient population.
- Utilize the electronic medical record for patient registration and record maintenance.
- Update insurance information, collect co-pays, and perform other assigned duties during patient check-in.
- Be knowledgeable with state and government agencies for patient consents and work with facilities for proxy consents.
- Schedule follow-up appointments and referrals upon patient check-out.
- Communicate professionally and timely with providers, patients, clinical care teams, and insurance companies.
- Answer incoming phone calls and direct them appropriately.
- Maintain a professional image by adhering to the dress code.
- Initiate the surgical booking process.
- Compile booking sheets, surgical consents, pre-op orders, prior authorization, and pre-admission forms.
- Prepare patient disability and out-of-work/school paperwork.
- Update the system with registration, scheduling, and insurance information.
- Discuss financial obligations, explain regulatory forms, and answer patient questions.
- Work in multiple systems during patient interactions and phone calls for accurate registration and workflow support.
- Understand the practice and hospital strategic plan.
- Support departmental plans, policies, procedures, and initiatives.
- Represent the organization and support its ideals and principles.

Requirements
- High School Diploma/G.E.D. required.
- Associate's Degree preferred.
- 3-5 years of office experience or three years of related experience in a medical practice preferred.
- Experience using an electronic health record and Microsoft Office is a plus.
- Excellent customer service skills.
- Ability to multi-task in a high patient volume unit.
- Ability to learn and utilize resources.
- Strong time management skills.
- Ability to review information and draw appropriate conclusions.
- Good judgment and ability to problem-solve; escalate issues as needed.
- Strong teamwork skills and work ethic.
