About the Role

Responsible for assisting daily activities and projects in Dent Offices and Clinics, including patient registration, appointment scheduling, data entry, research projects, and medical assistant duties. Provides direct assistance to patients, vendors, job applicants, and other visitors.

Responsibilities

  • Greet and direct patients, families, vendors, and pharmaceutical representatives, providing information on services, charges, and routine treatment procedures.
  • Verify patient demographics, insurance eligibility, and obtain consent to treat for accurate billing.
  • Process appropriate forms, copy insurance information, and receive payments on patient accounts.
  • Handle administrative requests from senior managers, including data entry, document scanning, and correspondence composition.
  • Escort and/or transport patients to examination rooms and other clinic locations.
  • Coordinate and participate in patient care activities, including taking vital signs, assisting with diagnostic procedures, and recording data.
  • Confer with patients to obtain accurate records, explain procedures, and ensure chart completion before physician examination.
  • Assist in completing insurance, compensation, disability, and prior authorization forms.
  • Ensure adequate patient follow-up for prescriptions, referrals, and diagnostic testing, and contribute to patient education.
  • Coordinate scheduling with the medical secretary.
  • Screen potential study subjects for protocol entry using inclusion and exclusion criteria.
  • Describe research study details, including requirements, medication, potential side effects, and medical care.
  • Explain testing procedures associated with studies, including psychometric tests and diagnostic or interventional procedures.
  • Create and maintain case report forms and summary sheets for data analysis.
  • Coordinate and communicate with sponsor study monitors for proper data collection and feedback.
  • Arrange schedules and appointments, including study subject visits and study staff schedules.
  • Organize and complete paperwork for volunteer fee schedule of payments.
  • Maintain a database of potential and former study volunteers.
  • Represent Dent by displaying a respectful and caring manner with patients and families.
  • Answer telephone, take messages, transfer calls, and provide information to other Dent departments.
  • Demonstrate responsible conduct within the office setting and interact calmly, respectfully, and in a friendly manner with colleagues.
  • Function as a member of the health care team, interacting and cooperating with physicians and other health care professionals.
  • Route patient records and specimens, order patient record details, and refer patients to appropriate clinical resources or personnel.
  • Maintain strict confidentiality of patient information in compliance with HIPAA and discretionary information.
  • Complete clerical duties in a time-efficient manner and report errors or problems.
  • Perform other duties as assigned or requested by supervisor or department manager.

Requirements

  • Ability to maintain strict confidentiality.

  • Flexible availability to accommodate office hours and assigned projects.
  • Working knowledge of general office equipment including multi-line phone, computer, copier, calculator, and fax machines.

  • Minimal/moderate physical effort.
  • Prolonged periods of sitting and standing with some bending, squatting, reaching above shoulder level, crouching, kneeling, and pushing/pulling.
  • Regular fine hand manipulation.
  • Associated health risks related to patient exposure including body fluids.
  • Requires some lifting usually not in excess of 5-15 pounds.
  • Travel may be required between DENTs multiple locations depending on business needs.
