About the Role

The Administrative Assistant will support the Community Improvement Program (CIP) at The Doe Fund's Brooklyn facility. This role involves managing daily administrative tasks, including attendance tracking, data entry, communication, and assisting trainees with various needs.

Responsibilities

  • Track daily attendance and enter trainee work hours into the automated system.
  • Manage Paid Time Off (PTO) tracking for CIP trainees.
  • File timesheets, injury reports, and special projects/events.
  • Communicate daily with supervisors, Program Directors, and the Finance Department.
  • Resolve discrepancies in pay or PTO for trainees.
  • Generate memos, crew lists, and weekly reports.
  • Assist trainees with changes in work assignments and schedules.
  • Maintain and distribute updated crew lists weekly.
  • Support Dispatch Personnel with calls and assignments.
  • Perform other assigned duties.

Requirements

  • High School Diploma/GED required.
  • Proficient in computer skills, including Google Suite and Microsoft Office Programs (Excel, Word, Outlook).
  • Experience with email and database management.
  • Ability to interact with people daily, demonstrating customer service skills.
