About the Role
The Administrative Assistant will provide office support including typing, filing, answering phones, and scheduling appointments to ensure the efficiency and operation of the program.
Responsibilities
- Perform general clerical duties including photocopying, faxing, mailing, filing, and arranging deliveries.
- Exercise discretion in handling sensitive information per HIPPA and Agency guidelines.
- Reconcile petty cash.
- Order office/tenant supplies via the S:US Bell purchasing system.
- Handle all internal and external communications via phone, email, and written correspondence.
- Manage a multi-line phone system.
- Coordinate with internal and external stakeholders, including staff, clients, visitors, and vendors.
- Arrange, schedule, and coordinate the office calendar.
- Prepare and edit communications, presentations, and other documents.
- Perform database management, including data entry into Excel and Electronic Health Records (EHR) systems.
- File and retrieve documents and reference materials.
- Provide timely, accurate, and clear documentation according to established policies and procedures.
- Handle competing demands by responding effectively to challenges, deadlines, and emergencies.
- Respond to consumer needs promptly, accurately, and with courtesy and respect.
- Represent the organization positively and appropriately to outside resources.
- Support the mission and values of S:US and address behavior inconsistent with core values.
- Perform other duties as assigned.
Requirements
- High School Diploma or Equivalent required.
- A minimum of one-year experience in an administrative setting.
- Working knowledge of various computer programs including e-mail, Microsoft Word, Excel, PowerPoint, and Windows Operating System.
Skills
- Bilingual English/Spanish speaking preferred.
