About the Role
Office Coordinators handle routine office work and administrative responsibilities, and assist with planning and coordinating community events and activities.
Responsibilities
- Greet and establish rapport with guests, current and prospective residents.
- Field community comments, suggestions, and complaints to the Community Manager.
- Prepare and distribute resident and community communications, including rule reminders, violation notices, rent increase letters, delinquency notices, eviction paperwork, lease addendums, and renewals.
- Collect and post resident security deposits, processing fees, rent, inspection, application, or other miscellaneous fees in Yardi.
- Record fees in proper accounts and issue receipts.
- Complete and reconcile community reports, including accounting reports, community traffic reports, and community activity reports.
- Maintain records and files in accordance with the Operations Manual.
- Perform general administrative functions such as answering phones, typing, copying, faxing, and filing.
- Review and code invoices and statements for Community Manager approval.
- Schedule clubhouse rentals and process rental fees.
- Ensure office supplies are sufficiently stocked and prepare supply orders.
- Make collection calls for site rental payments as directed by the Community Manager.
- Submit bad debt files to collections.
- Process resident move-ins and move-outs in accordance with the Operations Manual.
- Assist with planning and coordinating resident relations events and activities.
- Assist with the preparation of marketing materials, including brochures and flyers for homes for sale, community events, and other community-related information.
- Refer sales prospects to the Community Manager and enter prospect information into Yardi.
- Assist prospective residents by checking the status of Sun Homes inventory.
- Review new and pre-owned home listings, show homes to prospective residents, and assist with rental applications.
- Forward customer service requests to the Community Manager.
- Complete new move-in incentive requests for non-Sun Homes deals.
- Coordinate with the Underwriting team to obtain approvals on prospective resident applicants.
- Track all approvals and denials.
- Maintain the petty cash fund and record expenditures.
- Prepare bank deposit slips and deposit funds.
- Make daily bank runs as needed.
- Perform other duties as assigned.
Requirements
- High School Diploma or GED
- 2 years of administrative experience
- Excellent written and verbal communication skills
- Strong customer service skills
- Excellent problem-solving skills
- Intermediate computer proficiency
- Professional appearance
- Valid driver's license
