About the Role

The Community Programs Administrative Coordinator provides high-level administrative and operational support to the Self Direction, Supported Employment, Community Habilitation, Respite and Day Habilitation Department. This position serves as a central coordination point across all community programs, helping ensure efficient operation, accurate documentation, timely communication, and regulatory compliance. The role works closely with program directors, coordinators, and leadership to support daily operations, reporting, project coordination, outreach activities, and strategic initiatives. Success requires strong organization, attention to detail, discretion, professionalism, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Assist in managing and tracking employee training for all Community Program Staff.
  • Coordinate the collection, review, distribution, and tracking of required documentation for participants, families, staff, and external partners.
  • Provide comprehensive administrative and operational support.
  • Support participant intake and administrative processes by maintaining required documentation and assisting with onboarding activities.
  • Create staff enrollments and profiles on eVero.
  • Develop, maintain, and manage operational reports, Power BI reports, key performance indicators, operational data, and performance metrics.
  • Review and submit Electronic Visit Verification compliance records.
  • Prepare professional correspondences, presentations, meeting materials, and organizational communications.
  • Monitor compliance reports and operational data, tracking outstanding items.
  • Manage and report on tracking system data for evaluations, trainings, and EVV.
  • Assist with the preparation and distribution of reports, presentations, and other materials for internal team members.
  • Act as a point of contact between employees, families, and external vendors, ensuring effective communication and resolving inquiries.
  • Assist with the onboarding process, including scheduling interviews, screening candidates, and coordinating new hire orientations.
  • Provide support in various projects and initiatives, including data reports, family presentations, and workshops.
  • Collaborate with cross-functional teams and departments to ensure smooth operations.
  • Participate in compliance with all pertinent government regulations, policies, procedures, and operating standards.
  • Actively engage in departmental meetings.
  • Implement quality improvement processes for program services and administrative functions.
  • Provide administrative and logistical support for program initiatives, resource fairs, open houses, meetings, and other events.

Requirements

  • Minimum 3 years of administrative experience.
  • Proficient in computer programs such as Word/Excel/PowerPoint.
  • Working knowledge of OPWDD services and supports.
  • Excellent written, communication, and interpersonal skills.
  • Ability to self-initiate, organize, and problem-solve tasks.
  • Ability to manage multiple assigned tasks and meet deadlines.
  • Maintain accurate records and follow up consistently on required documentation and outstanding items.
  • Communicate clearly and professionally with internal teams, participants, clients, customers, staff, families, internal partners, referrals, and external partners.
  • Use data and reporting tools to support operational visibility, compliance, and continuous improvement.
  • Demonstrate discretion, sound judgment, and responsiveness when handling sensitive information and completing priorities.
