About the Role
As the Bookings and Operations Coordinator for Sofar London, you will be responsible for venue booking and logistics from start to finish, ensuring operational excellence for Sofar discovery and private shows. You will source venues, coordinate a complex show schedule, book crew and audio, and ensure key information is available for marketing and freelance crew. You will be the first point of contact for venue partners, negotiating partnerships and supporting freelance producers. This role offers the opportunity to sell and execute private shows, build a commercial portfolio, and contribute to the annual Sofar Fringe festival. Reporting to the GM of London, this is an opportunity for someone passionate about live events, with commercial acumen and deep knowledge of London's creative and cultural scene.
Responsibilities
- Coordinate the Sofar show calendar by booking unique venues across London, ensuring optimal neighborhood and day selection.
- Lead venue booking strategy, sourcing world-class venues with high ticketing revenue potential.
- Curate experiences that encourage repeat fan attendance.
- Ensure each show has briefing notes for freelance crew, enhancing the process for complex and private shows.
- Verify venue compliance with health & safety standards and local regulations.
- Support marketing by highlighting venue USPs and ensuring accurate venue information, including accessibility and seating.
- Monitor show feedback to maintain show quality and refine booking strategy based on customer demand.
- Ensure adequate show staffing and coordinate substitutions as needed.
- Collaborate with the Artist Booker to confirm artist and host sound requirements.
- Support freelance producers with show operations.
- Oversee new venue applications, site visits, and the venue onboarding process.
- Actively seek venue partners that drive attendance, awareness, and neighborhood engagement.
- Build strong relationships with London venues, acting as a liaison and preparing them for shows.
- Manage all gear and supplies to ensure safe and efficient show execution.
- Identify commercial opportunities, selling private shows and curating premium experiences.
- Manage last-minute venue cancellations and changes.
- Provide direction to the Bookings & Operations Assistant.
- Proactively represent Sofar in the community.
Requirements
- 4+ years of experience in operations, logistics, event management, or venue booking.
- Exceptional time management skills to prioritize tasks and meet deadlines.
- Clear written communication skills for cross-team and cross-timezone collaboration.
- Highly organized with the ability to maintain efficient operations and systems.
- Proven track record of upholding quality in high-volume environments.
- Understanding of how to use data for booking decisions.
- Strong sense of ownership, self-motivated with a willingness to learn.
- Commercial mindset with the ability to identify opportunities.
- Passion for the live events industry and emerging talent (previous experience is a plus).
- Takes initiative; driven and hard-working with a growth mindset.
