About the Role
The Operations Manager will oversee program implementation and operations, build relationships with partner organizations, and ensure quality assurance, documentation, service delivery, and reporting for all service programs. This role focuses on continuous process improvements, volunteer management, outreach, revenue, grants, marketing, and seasonal events to enhance overall operational efficiency.
Responsibilities
- Research and establish long-term relationships and partnerships with religious centers, organizations, and other resources.
- Conduct site visits, including research, scheduling, preparation, documentation, and reporting.
- Attend donor events and luncheons as applicable.
- Prepare and present written proposal summaries, analyses, and recommendations.
- Communicate, coordinate, collaborate, and cooperate with Service Program Directors.
- Manage the day-to-day work of all service programs under the guidance of management.
- Organize banquets, fundraisers, and other special events for service programs.
- Implement and ensure compliance with operational policies, procedures, and training, particularly volunteer management.
- Provide timely briefings and updates to management and attend meetings.
- Serve as a liaison between ICNA Relief and grantors, responding to inquiries and providing documents.
- Ensure accurate data collection, documentation, record keeping, and timely reporting on programming services.
- Collaborate with Revenue and Marketing departments.
- Maintain constant communication with management, staff, volunteers, and vendors to ensure operational activities remain on schedule and within budget.
- Ensure all new hires are properly onboarded and oriented towards the organization's mission, vision, and values.
- Manage timely data collection to update operations metrics, achieve productivity targets, reduce costs, eliminate errors, and deliver excellent customer service.
- Ensure operations records are kept according to standard operating procedures for consistency, predictability, and efficiency.
- Support materials and inventory management.
- Assist with special projects.
- Provide coverage and backup for administrative tasks and grants administration as needed.
- Perform other duties as assigned by the manager.
Requirements
- Must be available during core work hours (9:00 a.m. to 6:00 p.m.) on business days.
- Evening and weekend work may be required.
- Must be willing and prepared to travel for official work/assignments at 24-hour notice.
- Must have a clean traffic record with no outstanding citations.
- May be required to drive the organization's vehicle.
