About the Role
This role serves as a Receptionist and Interpreter, responsible for greeting clients, managing phone calls, maintaining schedules, and providing translation services. The position requires exceptional communication skills in both English and Spanish, with a strong understanding of medical terminology and cultural nuances.
Responsibilities
- Greet clients and provide necessary documents.
- Check patients in and contact therapists.
- Collect and process co-pays.
- Answer and redirect phone calls.
- Check and follow up on telephone messages.
- Place appointment reminder calls.
- Maintain front desk metric boards.
- Follow opening and closing procedures for the front desk.
- Maintain cleanliness and order in the front desk, waiting area, bathrooms, and kitchens.
- Maintain stock of cards, client forms, and brochures.
- Receive communication regarding Medicaid coverage and authorization status.
- Alert relevant parties to changes in Medicaid or Commercial Insurance coverage.
- Process incoming faxes.
- Record client cancellations and notify therapists.
- Maintain knowledge of organization personnel, business, and locations.
- Be knowledgeable of emergency procedures and equipment.
- Attend daily administrative meetings.
- Observe patient confidentiality and follow HIPAA guidelines.
- Assist with advertising the Attendance Reward Program.
- Reschedule client appointments.
- Assemble Client Welcome Packets.
- Update and maintain Food log and compliance logs.
- Create new employee mailboxes.
- Fax/mail reports and track receipt of physician signatures.
- Perform filing and scanning.
- Assist with training other administrative team members.
- Carry out other projects assigned by the Executive Office Manager.
- Provide accurate, high-quality interpretation services under pressure.
- Access reference material needed for interpretation duties.
- Use specialized terminology and explain therapeutic procedures.
- Translate written or spoken material from one language to another.
- Handle therapeutic documents and terminology.
- Maintain efficiency and strong team spirit.
- Demonstrate command of Speech, Occupational, and Physical therapy treatment terminology.
- Maintain good interpersonal relationships.
- Be proficient in Microsoft program applications and possess strong clerical skills.
- Serve as administrative backup when necessary.
- Carry out other projects assigned by supervisor.
Requirements
- Bilingual English/Spanish required.
- One year minimum of experience as a receptionist in a medical setting.
- Team Player.
- Accuracy, Dependability, Friendly, Outgoing, Polite, Multitask.
- Microsoft Office – Expert Level.
- High School Diploma or equivalent.
- Flexible Hours.
- Graduation from an accredited college with an associate degree preferred.
- One year of interpreting experience or any equivalent combination of related education, training and experience.
- Exceptional reading and comprehension skills.
- Excellent writing skills.
- Command of the English & Spanish language.
- Knowledge of interpreting techniques.
- Knowledge of cultural and linguistic differences impacting effective communication.
- Ability to translate documents, letters, therapeutic instructions, registration information, consents, etc. into the Target Language.
