About the Role

Provide a full range of support to the Wealth Management Group, including preparing and processing correspondence, bills, and tax payments. Responsibilities include administrative log maintenance, account management, daily balancing, fee processing, and handling account openings and closings. Ensure timely and accurate tax payments and upload tax information to relevant authorities.

Responsibilities

  • Prepare and process correspondence, bills, and tax payments.
  • Maintain administrative logs and perform account maintenance.
  • Conduct daily balancing and process fees.
  • Handle account opening and closing procedures.
  • Ensure timely and accurate estimated and balance due tax payments.
  • Upload tax information to respective tax authorities.
  • Process fees, free receipts, and deliveries.
  • Post transactions to the Trust Accounting System.
  • Create and distribute various reports and letters.
  • Update spreadsheets, review transfer paperwork, and adjust cost basis.
  • Perform daily balance with trust accounting vendor.
  • Open and close accounts.
  • Process disbursement of cash from Trust Accounts to escrow account.
  • Upload tax information files to web-based platforms.
  • Review charitable trust tax deposits on EFTPS.
  • Perform any other tax-related duties as assigned.
  • Provide excellent customer service and professional communication skills.
  • Inventory Vault on a quarterly basis.
  • Perform all other duties as assigned.

Requirements

  • Associates Degree in Business Administration or equivalent education and experience.
  • Minimum of 4 years experience in trust, banking, paralegal, accounting, brokerage, or insurance environment.
  • Experience in the securities and/or trust administration area preferred.
  • Proficient PC skills in a Windows environment, including Word and Excel.
  • Strong written and verbal communication skills.
  • Requires an understanding of securities movement and control unique to the trust and brokerage industry.
  • Excellent organizational and customer service skills.
  • Ability to work flexible schedules rotating to various positions within the department as necessary.
  • Working knowledge of database and accounting software, with ability to set up plus analyze and interpret report data.
  • Understanding of Trust Accounting Systems.
  • Must be a strategic thinker and able to support the growth of the NBT Financial Group.
