About the Role
The National Academy of Medicine (NAM) Leadership Consortium (LC) seeks a highly motivated and skilled Senior Program Assistant to execute administrative, logistical, and clerical operations for the Consortium's activities. This role is crucial for supporting the LC's mission to advance science, inform policy, and catalyze action to achieve human health, equity, and well-being.
Responsibilities
- Perform routine and complex clerical and administrative tasks, including scheduling, correspondence, mailings, note-taking, and follow-up actions.
- Update databases and systems, maintain and archive documents and files, and manage email and distribution lists.
- Coordinate and execute logistical arrangements for virtual and in-person meetings and workshops.
- Arrange travel, lodging, catering, and AV services for in-person meetings.
- Set up virtual meeting platforms and coordinate with participants for virtual meetings.
- Assemble and distribute meeting materials and briefing books.
- Process post-meeting tasks, including vouchers and travel expense reports.
- Update website content and respond to inquiries.
- Communicate with members, sponsors, and external customers.
- Assist with formatting, editing, and proofreading publications.
- Coordinate with printers and publishers for material printing.
- Perform basic research activities, including gathering citations and performing literature searches.
- Participate in data collection, assembly, tabulation, and literature summarization.
- Support the LC team with project management tools, meeting planning, and internal meetings.
Requirements
- Proficiency in Microsoft Office Suite.
- Ability to plan and support extensive meeting activities.
- Ability to solve problems with supervisory consultation or by following procedures.
- Ability to prioritize tasks and adapt to changing job demands.
- Ability to work successfully in a team environment.
- Ability to develop relationships with co-workers and across departments through effective communication.
- Strong communication and interpersonal skills with a proven ability to effectively interact with all levels of employees and external stakeholders.
