About the Role

This role involves abstracting data from patient charts for studies, contacting physicians and patients, and assisting clinicians in data compilation for publications. You will also be responsible for formatting data for submission, preparing presentations, maintaining databases, and providing clerical and administrative support.

Responsibilities

  • Abstract data from patients' charts relevant to specific studies.
  • Contact physicians and patients in accordance with study requirements to obtain relevant data.
  • Assist the clinician in compiling data for manuscript preparation.
  • Format data for submission.
  • Retrieve supporting documents from outside physicians’ offices and laboratories.
  • Enter data into relevant database and/or project specific data forms.
  • Retrieve, enter, and track receipt of data from outside affiliates, participating institutions, collaborative organizations, and physicians’ offices.
  • Meet project specific time requirements for data entry and submission.
  • Notify supervisor of potential deadline issues or changes in project scope.
  • Provide information to assess the impact of new deadlines or data modifications on other responsibilities.
  • Seek assistance when unsure how or where data should be coded.
  • Record data accurately and review for discrepancies.
  • Make corrections to data in a timely manner.
  • Develop systems and check mechanisms to eliminate errors.
  • Format and enter data into relevant databases per clinician’s instructions.
  • Review data format for accuracy prior to submission.
  • Retrieve information (CV’s, journals, patient records) by various methods.
  • Make revisions and format publications to suit the needs of submitting journals editors.
  • Compile data from pathology computer system and various libraries for presentation.
  • Assist Fellows with assigned research projects.
  • Prepare slides for conferences, presentations, and articles.
  • Locate information from various databases and the internet.
  • Research and find articles from various libraries and sources.
  • Copy articles for research.
  • Prepare, submit, and follow up on IRB forms.
  • Create charts, graphs, and overheads for presentations using PowerPoint.
  • Follow directions regarding appropriate format for data presentation.
  • Review visual materials and assure final presentation appears as requested.
  • Coordinate Kodaachrome preparation and photography.
  • Maintain documentation of all presentation materials.
  • Establish database of abstracts on file.
  • Establish and maintain reference card file of correspondence and bibliographies.
  • Prepare correspondence, charts, or other narrative and statistical materials.
  • Collect and compile information on abstracts.
  • Set up computer files on abstracts.
  • Enter abstract data completely and accurately.
  • Update databases as needed.
  • Add bibliographies to databases.
  • Prepare ‘face sheets’ for paper submissions.
  • Maintain filing system of reprint orders, correspondence, and other materials.
  • Document slides used for specific research projects.
  • Create documents (letters, correspondence, book chapters) that are neat, well-formatted, accurate, and within time frame.
  • Proofread all documents prior to submission.
  • Use appropriate reference manuals to verify accuracy.
  • Follow up with author on missing or unclear information.
  • Order and coordinate reprints of articles and distribute.
  • Copy and distribute materials or memos.
  • Update curriculum vitae’s and biographies.
  • Make travel arrangements and process travel authorization.
  • Retrieve slides from the slide file room and re-file correctly.
  • Process expense reimbursements and purchase orders.
  • Examine submitted slides and compare information with outside report for correctness.
  • Call referring institution to obtain or verify patient demographic information.
  • Submit necessary demographics to PFS to obtain an MRN.
  • Verify demographics associated with MRN and match information to submitted paperwork.
  • Verify that appropriate billing/account number corresponds to paperwork.
  • Verify that the same accession number in the computer is placed on the slide and corresponding paperwork.
  • Enter appropriate part type, description, and outside procedure date.
  • Place label with accession number on requisition and slide.
  • Identify and document QA specimen/report deficiencies.
  • Recheck entries before proceeding to the next patient.
  • Submit accessioned slides to appropriate attending for processing.
  • Ensure the number of slides received is the number of slides returned.
  • Ensure proper release form is received and/or completed prior to releasing submitted material.
  • Prepare letters for referring institution/physician for all slide/block sent back.
  • Contact outside institutions to request additional information and material needed.
  • Communicate with fellow regarding outstanding material.
  • Deliver all broken slides to laboratory for repair.
  • Document misinformation in system as QA SPEC/REQ deficiency.
  • Utilize SMS system for checking patient demographic data.
  • Contact Patient Financial Service for verification/clarification of patient demographic data.
  • Call or page the submitting physician to request information on insufficient submitted cases.
  • Answer telephone lines clearly and distinctly.
  • Route calls immediately to the individual requested.
  • Take and distribute accurate, complete, legible messages.
  • Use proper telephone techniques when placing callers on hold.
  • Provide necessary information to caller when transferring calls.
  • Introduce self by name and department when contacting individuals outside the department and provide reason for call.
