About the Role

GPJ is seeking an Account Operations Coordinator to provide project-level support to the Account Operations team, ensuring the smooth delivery of client programs.

Responsibilities

  • Drive client program deliverables, including handling financial documents and compiling data for analysis.
  • Coordinate with the finance department for program-related activities.
  • Maintain and reconcile budgets in collaboration with account teams.
  • Assist stakeholders in generating progress reports.
  • Manage resource scheduling and rate checking.
  • Communicate program risks to relevant parties.
  • Ensure operations comply with GPJ and client contractual requirements and policy governance.
  • Gather project/program budgets, scope documents, proposals, as sold documents, work orders, sub-budget categories, and change orders.
  • Monitor and communicate project performance, including actual versus estimate performance.
  • Conduct root cause analysis for variances and educate/adjust processes.
  • Ensure change orders are presented and approved when scope changes.
  • Ensure job cost transfers are approved and processed.
  • Ensure compliance with client contract requirements.
  • Ensure projects are set up with accurate rate cards.
  • Ensure correct job type/step setup for assigned resources.

Requirements

  • Ability to understand on-site methodology and practices, as well as show and venue rules and regulations.
  • Ability to work irregular hours as needed for programs.

Skills

  • Accounting or finance background.
  • Proficiency in GSuite.
  • Experience with JDE, Deltek, or similar tools preferred.
  • Ability to manage 30+ shows simultaneously, handling tasks such as estimating, issuing POs, paying invoices, and reconciling.
  • High functioning ability to work under time restrictions and with numerous personality types.
  • Strong communication skills with personnel at all levels.
  • Team player understanding roles and servicing clients.
  • Flexibility to shift work and priorities as needed.
  • Willingness to travel and work irregular hours.
  • Accuracy: Deliver work with precision, completeness, and freedom from error.
  • Collaboration: Engage others and research as needed to provide a clear, complete, and accurate product.
  • Communication: Respond timely and accurately to requests for information, ensuring all appropriate parties are included and providing regular workload status updates.
  • Proactive: Take control and facilitate change instead of waiting and reacting; take initiative to improve the business.
  • Relationship Builder: Develop, maintain, and strengthen partnerships; identify new stakeholders, manage client expectations, define new business opportunities, and deliver against client needs while balancing client and agency needs.
  • Situational Awareness & Proactive: Understand the entire process to identify potential delays or mistakes before they happen; remedy quickly once identified; recommend process updates; adapt to new processes and tools.
