About the Role

The Affiliate Operations Specialist, under the direction of Human Resources (HR) and site leadership, is responsible for providing general support to the site PAGNY office and providers. The Affiliate Operations Specialist is also responsible for managing all employee concerns as the initial point of contact and is expected to serve as an outward-facing part of the HR Department.

Responsibilities

• Onboarding of new hires through effective communication with recruiting specialists and hiring managers.
• Logging and tracking of applicable human resources forms.
• Consistent updating of employee records in HRIS and other systems.
• Managing compliance with mandatory and non-mandatory trainings, continuing education, annual health assessments, and work evaluations.
• Assuring employee records are current and meet The Joint Commission on Accreditation of Healthcare Organizations (JCAHO) and New York Department of Health (NYDOH) standards.
• Acting as the primary point of contact for all credentialing and onboarding.
• Managing multiple new providers' progress throughout the credentialing and onboarding process.
• Tracking all new hires, ensuring onboarding is smooth and thoroughly reviewed.
• Ensuring all post-hire data and documents are in HRIS, employee files, credentialing, and onboarding trackers.
• Maintaining relationships with providers and staff by checking in periodically to keep them informed and engaged.
• Leading and facilitating recurring new hire orientation and other activities.
• Providing hands-on guidance for timesheet processing, benefits, continuing medical education (CME), and payroll and holiday calendars.
• Managing all HRIS transactions in a timely fashion and making change requests ensuring accuracy.
• Following up with the appropriate personnel and communicating with corporate and NYC Health + Hospitals approvers for escalated issues.
• Building and maintaining successful relationships with site leadership, Medical Staff Office (MSO), Occupational Health Services (OHS), NYC Health + Hospitals Human Resources Partners, Chiefs/Chairs, and other stakeholders.
• Attending site committee meetings, when necessary.
• Handling routine labor relations and human resource inquiries related to policies, procedures, and bargaining agreements.
• Referring complex matters to appropriate Labor and Employee Relations team members.

Requirements

• Bachelor's degree or equivalent in education and/or experience, plus three years of related experience in the healthcare setting.
• The ability to communicate and interact effectively with personnel at all levels of the organization is essential.
• Excellent interpersonal, organizational, and communication skills both oral and written.
• Consistently displays the highest degree of integrity, professionalism, diplomacy, and discretion.
• Maintain the highest level of confidentiality.
• Proficient use of Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel) required.

• $65,000.00 - $75,000.00
