Responsibilities

  • Assist with the day-to-day operational management of services within The Stage.
  • Manage Assistant Facilities Manager (AFM) line.
  • Oversee Mechanical and Electrical operations.
  • Manage Project Management initiatives.
  • Supervise security manned guarding.
  • Manage Front-of-House reception.
  • Oversee Access/Security Control.
  • Manage help desk operations.
  • Manage internal & external cleaning services, including window cleaning.
  • Oversee waste management including recycling initiatives and preparation of regular reports.
  • Manage Health, Safety & Environmental aspects.
  • Manage internal & external landscape.
  • Oversee building fabric maintenance & management.
  • Manage health & wellbeing event coordination.
  • Ensure highest standards of management and maintenance for the estate, considering expenditure and budgetary constraints.
  • Procure supplies and services in accordance with JLL procurement program, ensuring high standards and best prices.
  • Monitor contractor performance against agreed standards.
  • Review service specifications annually.
  • Establish and maintain high-quality Health & Safety and Environmental management practices.
  • Maintain and update Health & Safety policies, liaising with external consultants for risk assessments.
  • Manage the HSE risk management system, addressing identified risks and conducting regular reviews.
  • Liaise with occupiers to understand needs, improve service delivery, and facilitate good relations.
  • Understand lease terms affecting facilities management and client obligations.
  • Monitor and manage helpdesk personnel to ensure prompt and warm attention to guests and clients.
  • Develop and maintain relationships with Central London FM Client Lead and Asset Management teams.
  • Coach and develop AFM staff to achieve career objectives.
  • Undertake regular inspections of the estate to monitor servicing, maintenance, and compliance standards.
  • Liaise with contractors, service providers, consultants, and specialists.
  • Obtain quotations for works required at the property.
  • Manage the life cycle and planned maintenance of property fabric and services (PMP).
  • Follow up on all maintenance services/requests and repairs, ensuring coordination and adherence to safety measures.
  • Identify, organize, and manage minor building works, and assist in project management of major schemes.
  • Ensure adequate arrangements for emergency and out-of-hours cover, being on-call as necessary.
  • Report to the GM in accordance with agreed procedures, keeping a daily diary and providing weekly reports.
  • Liaise with the Central London FM Client Lead and Asset Management teams for uniformity of approach.
  • Prepare site regulations and issue permits to work for contractor activities.
  • Maintain, test, and implement major incident plans.
  • Organize and coordinate emergency evacuation drills.
  • Assist in financial management through service charge budget preparation, monitoring, variance reporting, and reconciliation.

Requirements

  • Facilities management experience in estate management of multi-let properties for Investors or Corporate Occupiers or within hotels.
  • Strong mechanical & electrical biases and demonstrable understanding of building systems.
  • Excellent contractor management skills.
  • Experience in managing service charge budgets, setting budgets, and reconciling accounts.
  • Excellent IT skills and working knowledge of Microsoft Office.
  • Strong verbal and numerical skills with report writing capability.
  • Customer-service driven with excellent communication skills.
  • Excellent interpersonal and influencing skills.
  • Ability to work independently with minimal supervision.
  • Ability to work under pressure, manage time, and meet deadlines.
  • Practical leadership skills.

Experience Level

  • At least three years’ experience in the management of investor properties at OM level (Desirable)
  • Experience in facilities management

Education Level

  • BIFM or RICS qualifications (or equivalent) and membership of BIFM (Desirable)
  • Qualifications in Building Services (Desirable)
  • NEBOSH General Certificate and/or IOSH Managing Safely (Desirable)
