About the Role
Under the supervision of the Facilities Manager, the Assistant Facilities Manager is responsible for assisting in all areas defined as part of the Facility Manager position. This management position will directly and indirectly supervise individuals, building staff, and operations, and coordinate across the facilities organization at a specific location, set of buildings, or campus environment. The Assistant Facilities Manager drives the implementation of company best practices in alignment with client goals and objectives to deliver a well-managed and maintained building.
Responsibilities
- Manage building staff in the absence of the Facility Manager or Senior Facility Manager, including all managerial functions as directed.
- Oversee day-to-day operations of facility(s) or campus, including janitorial, life-safety, engineering, site services, and general maintenance, ensuring consistency with company policies and client directives.
- Review contracts regularly, conduct bidding as required, and confirm invoices match contract pricing.
- Supervise all maintenance programs for the interior and exterior conditions and appearance of properties.
- Respond promptly to requests for building maintenance, repairs, and cleaning needs from occupants.
- Implement ongoing contract programs to address and resolve needs and problems.
- Compile information to ensure accurate and timely completion of site-specific documentation and reports, including Property Information Book, Site Operating Manual, Emergency Procedures Manual, IIPP Manual, Local Code Compliance Log, ADA Compliance Log, OSHA Log, Safety Meeting Log, Elevator Logs, Janitorial Log, Purchase Order Log, Vendor Certificates of Insurance, As-built Drawings, Paid Invoices File, General Files, Contract Files, Annual Property Conditions and Year-end Performance Report, and other required documentation.
- Prepare budgets, financial reports (monthly and quarterly), contracts, expenditures, and purchase orders related to the facility(s) or complex.
- Provide information and reports necessary for the development of capital budgets, including contributions to a five-year plan for maintenance, facility improvement, and cost reduction initiatives.
- Collect, analyze, and prepare reports of statistical data to assess facility management objectives.
- Ensure complete understanding of management contracts, vendor agreements, and other building/facility contracts and their requirements.
- Monitor and ensure tenant and vendor compliance with insurance requirements and coordinate all claims.
- Proactively inspect the facility, systems, rooms, and common areas, reporting findings or issues to the Facility Manager.
- Hire, train, and motivate facility personnel, maintain positive staff relations, and conduct or approve performance evaluations.
Requirements
- Minimum 3 years of relevant experience, preferably in commercial or industrial real estate with facility management experience.
- One year of supervisory experience preferred.
- Experience in maintenance, construction, engineering, and all facets of property operation and building management preferred.
- CMMS/Work Order Management experience is preferred.
- Ability to read and understand construction specifications and blueprints.
- Proficient in understanding management agreements and contract language.
- Skilled in Building Management Systems maintenance and monitoring.
- Excellent computer and systems knowledge; strong literacy in Microsoft Office Suite (MS Word, Excel, PowerPoint).
- Strong discipline of financial management including financial tracking, budgeting, and forecasting.
- Knowledge of Financial Systems (Yardi a plus).
