About the Role
Coordinate the day-to-day scheduling operations for HVAC installations, ensuring technicians have the necessary resources and maintaining the installation schedule. This role involves customer communication, job file setup, and managing permits and registrations.
Responsibilities
- Update the installation schedule daily, filling it to maximum capacity.
- Set up and issue job numbers in Service Titan for sold jobs.
- Confirm install dates with customers.
- Advise the sales team on the next available install dates.
- Assist the sales team with estimates and paperwork discrepancies in Service Titan.
- Update and maintain the dispatch board with all sold jobs.
- Communicate scheduling issues with other departments, including sales.
- Verify collection of payments upon job completion.
- Ensure all P.O. numbers are exported.
- Confirm job account balances are zero.
- Report financed jobs to accounting.
- Enter service agreements.
- Complete equipment registrations.
- Answer incoming phone calls.
- Assist and coordinate with the warehouse regarding the delivery schedule for installs.
- Coordinate material pick-ups from vendors for upcoming installs.
- Communicate with field supervisors on crew progress and adherence to schedule.
- Return customer calls promptly, resolving open issues efficiently.
- Acquire necessary permits.
- Perform additional duties as assigned.
Requirements
- High School Diploma or GED.
- Experience in customer service, inside sales, call center, scheduling, or appointment setting.
- Excellent communication and relationship-building skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Comfortable discussing financing options and answering customer questions.
- Proficiency with Microsoft Office and CRM systems.
- Successful completion of a criminal background check, drug screening, and other applicable pre-employment requirements.
