About the Role
As Office Operations Manager, you will be the backbone of our day-to-day office operations, ensuring everything runs smoothly in a fast-paced environment. This hands-on role balances planned projects with spontaneous requests, offering opportunities for creativity and ownership. You will also ensure our people feel at home in the office.
Responsibilities
- Own and optimize office operations, including procurement, supplier management, and inventory control.
- Ensure the office, workspaces, kitchen, and common areas are well-organized, maintained, and functional.
- Handle day-to-day operational tasks such as deliveries, order coordination, minor repairs, and storage organization.
- Juggle multiple ongoing tasks and spontaneous requests, prioritizing effectively.
- Collaborate with IT, Finance, and People teams for efficient and compliant processes.
- Support Onboarding and Offboarding processes with People Ops and IT.
- Act as the central point of contact for external partners like suppliers, consultants, and landlords.
- Analyze office usage and costs, identify optimization opportunities, and support reporting.
- Ensure compliance with health, safety, and security regulations.
- Plan and organize internal events, contributing to employee engagement and sustainability.
- Stay flexible and adaptable as priorities shift, adjusting plans to meet business needs.
Requirements
- At least two years of experience in office management or a related field, ideally with a background in hospitality or event management.
- Excellent written and spoken German (minimum C1 level) and English; additional European languages are a plus.
- Strong organizational skills paired with a structured, reliable, and solution-oriented way of working.
- A proactive attitude and positive energy that helps create a motivating and pleasant office atmosphere.
- High resilience to stress and pressure, with the ability to stay calm and manage competing priorities.
- Comfort with ambiguity and spontaneous requests; ability to quickly assess urgency and adjust plans.
- Collaborative mindset, accustomed to working cross-functionally with multiple teams and stakeholders.
- Natural connector who communicates clearly across different stakeholders.
- Genuine sense for the needs of a modern office environment and a drive to contribute to a positive workplace culture.
