About the Role
Performs end-to-end document management activities ensuring compliance with standards and safeguarding the integrity of critical documentation. Develops and optimizes core document management processes, prioritizing automation and efficiency to streamline workflows and enhance operational performance. Manages the document database and mitigates risks within document management processes to protect the integrity of all critical documentation. Focus is primarily on business/group within BMO; may have broader, enterprise-wide focus. Exercises judgment to identify, diagnose, and solve problems within given rules. Works independently on a range of complex tasks, which may include unique situations. Broader work or accountabilities may be assigned as needed.
Responsibilities
- Formulates and updates document retention guidelines and policies in accordance with best practices and regulatory standards.
- Analyses reports on document management metrics and operational performance and proposes changes to senior management.
- Reviews the necessary documentation for audits, ensuring adherence to internal policies and external regulations.
- Analyses higher-risk client requests, verifying proper authorizations for a seamless and secure process.
- Executes and contributes to change management initiatives to ensure adoption of anticipated process improvements.
- Manages end-to-end document workflows for deposit accounts, client onboarding and treasury services, ensuring compliance with company policies and regulations.
- Ensures completeness and correctness of account documentation, adhering to specified formats and regulatory requirements.
- Organizes, secures, and mitigate risks in document processes while maintaining integrity and compliance.
- Ensures accuracy in documentation, prepares audit materials, and mitigates risks in document management.
- Take measured risks while protecting the bank by applying our Risk Management Framework in the execution of your role, in line with our Risk Culture and within our approved Risk Appetite, making sound and risk informed decisions that align to business strategy, protect assets, and adhere to applicable policy documents (Frameworks, Policies, Standards, Procedures and Supporting documents), laws and regulations.
Requirements
- 4 – 6 years of relevant experience in accounts documentation, or financial operations in a corporate or banking environment is preferred.
- Technical proficiency gained through education and/or business experience.
