About the Role

Partner directly with the Chief Product & Technology Officer (CPTO) to manage their day-to-day operations, including email, scheduling, travel planning, and event preparation. This role serves as the operational backbone, ensuring efficiency and smooth functioning of the CPTO's office while collaborating with other executives and their teams. It requires treating administrative work as a craft, anticipating needs, driving operational excellence, and communicating crisply with empathy and hospitality.

Responsibilities

  • Manage a high volume of email and correspondence on behalf of the CPTO, including triaging, drafting, responding, and ensuring follow-through.
  • Own scheduling and calendar management for both work and personal calendars.
  • Develop a deep understanding of the CPTO's priorities to optimize time, prioritize commitments, protect deep-work time, and balance internal and external engagements.
  • Coordinate travel planning, including multi-leg itineraries, partner visits, and offsite logistics.
  • Support the execution of internal and external meetings, conferences, and offsites with logistics, briefing materials, and follow-ups.
  • Coordinate across executives and their teams, partnering with the Chief of Staff to the CPTO and other senior leaders.
  • Utilize AI tools (e.g., ChatGPT, Claude) to expedite briefings, summaries, drafts, research, and recurring workflows, and propose new tooling ideas.
  • Draft, edit, and send communications on the CPTO's behalf, including Slack messages, candidate outreach, partner emails, and board prep notes.
  • Develop and manage a task management system to maintain visibility on competing tasks and deadlines, driving open items to closure.
  • Manage expenses, vendor relationships, and administrative workflows for the CPTO's office.
  • Handle highly sensitive information, including personnel matters, financials, board materials, and candidate pipelines, with absolute discretion.

Requirements

  • 3-6 years of Administrative Business Partner (ABP) or Executive Assistant (EA) experience, with direct support of a senior executive (VP, C-level, or founder) at a high-growth startup or scaled tech company.
  • Hands-on, daily use of AI tools (ChatGPT, Claude, Granola, Notion AI, or similar) in your workflow.
  • Exceptional written and verbal communication skills, with the ability to adopt the principal's voice.
  • Strong organizational instincts and fluency in Google Workspace, Slack, Notion, and modern calendar/travel tooling.
  • Sharp judgment under pressure, with the ability to discern urgency and importance.
  • Comfortable acting as an accountability partner, tactfully surfacing commitments and deadlines.
  • Deeply discreet and trustworthy, comfortable holding confidential information.
  • Bias toward action, with a preference for making decisions and adjusting.
  • Meticulous attention to detail and a high bar for precision.
  • Warm, empathetic, and naturally hospitable demeanor.
  • Low-ego and genuinely curious, with the ability to build relationships across functions and seniority levels.
  • Based in New York City and able to work in person 4 days/week from our Tribeca/FiDi office.
  • Authorization to work in the United States is required.
