About the Role
The Service Admin is responsible for coordinating and optimizing service administration processes for analytical instruments and related equipment. Acting as a key operational resource, this role works across internal service teams, distributors, vendors, service providers, and customers to ensure efficient service delivery, operational excellence, and a high level of service quality. The position also contributes to process standardization, operational improvements, and the effective execution of service support activities across the organization.
Responsibilities
- Lead and coordinate critical service administration processes, including quotation management, order processing, invoicing, warranty administration, and service support activities to ensure efficient and accurate service delivery.
- Serve as a key operational liaison among field service engineers, distributors, vendors, Authorized Service Providers (ASPs), and customers by coordinating schedules, service work orders, parts logistics, purchasing activities, and outsourced service support.
- Drive operational excellence through effective management of service-related data and business systems, serving as a key resource for service administration processes while identifying opportunities for process improvement, increasing operational efficiency, and enhancing service quality across related teams.
Requirements
- Multiple years of experience in service administration, sales administration, order management, customer support operations, or a related operational support function.
- Practical experience in quotation preparation, order processing, purchase order administration, invoicing, and coordination of multiple stakeholders within a service or operational environment.
- Proficiency in Microsoft Excel (including VLOOKUP or equivalent functions) and experience using CRM and ERP systems.
- Ability to work with English-language systems and documentation.
Skills
- Salesforce (including Opportunity and CPQ) or other CRM platforms
- Managing service operations involving external service providers, vendors, distributors, or subcontracted engineers
- Experience within the scientific instrument, medical device, manufacturing, or other technical service industries
