About the Role

The Office Operations team ensures the smooth and efficient functioning of the Firm’s day-to-day operations by managing infrastructure, systems, and services related to office workplaces, operational services, security, safety, PA support, document production, translation, and travel services. The team also manages client-facing areas, aiming for a world-class client experience, and promotes environmental sustainability in daily operations.

Responsibilities

  • Provide general administrative support to partners and lawyers in the Corporate M&A/Private Equity Practice, including arranging meetings, booking rooms, handling calls, supporting travel needs, and processing expense reimbursements.
  • Prepare legal documents, correspondence, and communications, potentially liaising directly with clients for meeting organization.
  • Collaborate with the Billings team to prepare invoices, liaising with various business support groups.
  • Assist with setting up new matters on New Business Intake and facilitate conflicts clearance.
  • Work with the Business Development team regarding client connections and maintaining the CRM database.
  • Plan and organize workflow to meet established time constraints and deadlines.
  • Exercise good judgment, ask clarifying questions, and communicate feedback, concerns, issues, and workarounds efficiently.

Requirements

  • 6+ years of experience supporting lawyers and professional support lawyers in a law firm is preferred.
  • Knowledge of billing systems (e.g., 3e) and expense management systems.
  • Familiarity with MS Office, particularly MS Word (including typing and formatting) and PowerPoint.
  • Experience booking domestic and international travel is preferred.
  • Professional telephone manner.
  • Excellent organization and time management skills.
  • Good judgment, ability to ask questions, and strong communication skills.
  • High level of integrity and diligence.
  • Ability to build strong relationships.
  • Ability to work independently and in a team environment.
  • Excellent attention to detail.
