About the Role
Western Union is seeking an Office & Sales Support Specialist in London to act as the operational hub for the office and support the Sales organisation across the UK, Ireland, and Nordics region. This varied role combines office administration, facilities coordination, reception, and sales support to deliver an exceptional experience for employees, customers, and agents.
Responsibilities
- Act as the first point of contact for visitors, clients, vendors, and employees, ensuring a professional and welcoming office environment.
- Manage incoming calls, visitor enquiries, office access, correspondence, mail, courier services, and office supplies.
- Coordinate meeting room bookings, catering arrangements, and workplace facilities requirements.
- Liaise with building management and external service providers to support day-to-day office operations.
- Support workplace health, safety, and office compliance activities.
- Review and validate Sales Enrolment Packages submitted by prospective agents, ensuring documentation is accurate, complete, and compliant.
- Provide administrative and operational support to Sales Executives and the wider Sales organisation.
- Respond to agent administration queries and support agent onboarding and contract administration processes.
- Maintain reports, trackers, records, and documentation to support business operations.
- Coordinate logistics for management meetings, office events, employee engagement activities, and visiting stakeholders.
- Assist with travel arrangements, presentation materials, and meeting documentation.
- Build strong relationships with stakeholders across Sales, Compliance, Operations, Finance, Legal, and other business functions.
- Contribute to process improvement initiatives and support special projects as required.
Requirements
- Previous experience in office administration, reception, sales support, customer service, or a similar business support role.
- Strong organisational and time-management skills with the ability to manage multiple priorities.
- Excellent verbal and written communication skills.
- High attention to detail and commitment to delivering accurate work.
- Intermediate proficiency in Microsoft Office applications, including Outlook, Excel, Word, and PowerPoint.
- A professional, collaborative, and customer-focused approach.
- Ability to build effective relationships across a wide range of internal and external stakeholders.
- Experience using Salesforce or other CRM systems.
- Experience working within a sales, commercial, payments, financial services, or customer-facing environment.
- Previous facilities, office management, reception, or event coordination experience.
